Role Overview:The Project Coordination Specialist plays a pivotal role in overseeing, managing, and tracking all projects within the organization. This position provides guidance to employees across all levels regarding effective change management practices and implementation strategies.
The incumbent will be responsible for ensuring comprehensive documentation of project plans and will collaborate with relevant departments to guarantee timely completion and consistent training aligned with organizational standards.
Key Responsibilities:
- Oversee multiple cross-departmental projects utilizing agile and traditional project management methodologies in a dynamic environment with diverse stakeholders.
- Establish and maintain clear and consistent communication with all project stakeholders.
- Receive, manage, and process project submissions in line with Project Management Office (PMO) guidelines.
- Address project stakeholders' inquiries or concerns promptly and professionally.
- Assist the Strategic Project Manager in crafting detailed project plans that are shared with teams to ensure all changes are tracked and understood.
- Organize all cross-departmental project meetings and delegate responsibilities accordingly.
- Manage modifications to project scope, timelines, and budgets to keep plans accurate and up-to-date.
- Support the creation of Project Management materials, including Standard Operating Procedures (SOPs), Gantt charts, workflows, and process maps, using Microsoft Teams.
- Collaborate with the Education department to facilitate appropriate training prior to project implementation.
- Develop and maintain various tools and templates related to project management and continuous improvement.
- Stay informed about current trends in the Project Management industry.
- Perform administrative duties and report on departmental metrics.
- Carry out additional tasks as assigned.
Compliance:
- OSHA CATEGORY DEFINITION: Category 2 – The incumbent may have potential occupational exposure.
- Access to confidential information is required, and discretion must be exercised in compliance with the organization's confidentiality policy.
Qualifications:
- Bachelor's degree in Business Administration or a related field is preferred.
- Certification in CAPM, PMP, or equivalent experience is required.
- A minimum of one year of experience in leading, planning, and managing projects within a Project Management Office or similar environment, particularly in custom business development projects.
Skills:
- Strong understanding of project management life cycle models and traditional project management principles.
- Experience with Project Management Software such as MS Project, Smartsheet, or Azure Dev Ops is essential.
- Exceptional attention to detail and organizational skills, with the ability to manage multiple tasks and adapt to changing priorities.
- Ability to provide clear written and verbal instructions related to project management processes to various levels of leadership.
- Capability to meet deadlines and strategize competing priorities effectively.
- Excellent communication skills, both oral and written.
- Ability to work independently as well as collaboratively within a team.
- Capacity to handle high-stress situations and manage a heavy workload.
- Flexibility to adapt in a dynamic work environment.
- Willingness to travel as required to fulfill job responsibilities.
Work Environment:
This position is primarily office-based, and the use of a personal vehicle may be necessary to fulfill job duties.
