Job Description

The George Washington University School of Medicine and Health Sciences (SMHS) is seeking an Administrative Associate to provide administrative support to the Associate Dean of Student Affairs and other senior staff. This role involves managing fiscal affairs, office management, and human resource needs.

Key Responsibilities
  • Provide administrative support to the Associate Dean of Student Affairs and other senior staff
  • Manage fiscal affairs, including purchasing cards and reconciliations
  • Coordinate schedules and maintain calendars for assigned staff
  • Anticipate and prepare background materials needed for meetings and events
  • Liaise with managers to ensure office administration policies and programs are appropriate for their needs
  • Plan, prioritize, and manage maintenance and space activities to minimize disruptions to business activities
  • Oversee the customer service efforts of the front desk, including referring constituents and resolving concerns
  • Assist with purchases for student class and student government accounts
  • Provide administrative support and participation in SMHS senior-level social functions and other SMHS-hosted event activities
  • Coordinate with staff from various offices, including Facilities Management, IT, and Telecommunications, to ensure ease of operations and efficient management of daily incidents
  • Support faculty, deans, and staff in coordinating preclinical academic calendars and intersession curricular events
Requirements
  • Bachelor's degree in an appropriate area of specialization
  • 2 years of administrative experience preferred but not required
  • Excellent interpersonal and teamwork skills
  • Proficient computer skills and in-depth knowledge of MS Office Suite
  • Prior experience managing events, curricular affairs/student affairs, preparing high-profile documentation, budgeting, invoicing, and reimbursements, and maintaining accurate records
  • Experience supporting executive calendars, meetings, files, and working on various projects/events
  • Excellent communication skills (verbal and written)
Work Environment

This is a hybrid position, which means job functions can be performed effectively in a combination of on- and off-campus locations. Employees may have dedicated space or a personal or shared workspace assigned or available to them at an on-campus site. Telecommuting agreement must be implemented.
