We are currently in search of a Client Relations Specialist to join our team. This role is essential in supporting the sales process by managing customer orders and acting as a bridge between clients, sales, and production teams. The ideal candidate will possess outstanding communication abilities and a genuine enthusiasm for customer service. Experience in a manufacturing or related field is highly advantageous.

Key Responsibilities:

  • Maintain customer relationships through phone and email, manage all artwork, orders, and pricing inquiries, and keep clients informed about their order statuses.
  • Engage directly with potential clients to gather necessary information and product specifications.
  • Receive and review purchase orders from clients via various communication methods, ensuring accuracy before confirming orders.
  • Coordinate artwork with production teams to verify the availability of cutting dies and cylinders.
  • Oversee the proofing process to ensure smooth transitions through all departments until final production.
  • Uphold high standards for new production orders, awaiting customer approval on proofs and specifications.
  • Input new purchase orders into the system, accommodating specific delivery or shipping requirements, and communicate any special orders to relevant personnel.
  • Route necessary materials and job jackets to production areas to initiate job orders.
  • Address inquiries and resolve complaints promptly, demonstrating exceptional service and follow-through.
  • Notify team members of any production issues that may impact order shipments.
  • Prioritize orders effectively, selecting the best options to meet customer needs.
  • Manage the billing process for shipped or delivered products, ensuring accuracy in shipping reports and customer transaction records.
  • Consistently strive to exceed customer expectations and deliver outstanding service.

Qualifications:

  • Two to three years of relevant experience or training, or an equivalent combination of education and experience.
  • Experience in a manufacturing or similar environment is preferred, particularly in the printing or packaging sectors.
  • Ability to interpret business documents, write reports, and effectively present information to various audiences.
  • Proficiency in mathematical calculations and measurement interpretation.
  • Regularly required to sit and communicate; occasional standing and walking may be necessary.
