Job Summary:

The Intake Coordinator is a vital role at BayMark Health Services, responsible for providing exceptional customer service and creating a welcoming environment for clients. This position is the first point of contact for clients upon admission to our residential facility, ensuring a smooth and efficient admission process while interacting with clients, family members, referrals, and guests.

Key Responsibilities:
  • Collaborate with Admissions to ensure seamless client onboarding, including timely communication and coordination with external stakeholders.
  • Complete admission forms accurately and efficiently with clients, family members, or authorized representatives.
  • Update admissions records and communicate effectively with all departments involved to ensure transparency and collaboration.
  • Maintain accurate and up-to-date electronic medical records, adhering to company standards and regulations.
  • Participate in required trainings and meetings to stay informed and up-to-date on company policies and procedures.
  • Support Health Services as needed, including coordination with providers for additional client needs.
  • Engage with clients and families to promote a positive and supportive environment.
  • Conduct client chart audits and ensure accurate and timely updates to staff.
  • Assist care teams in ensuring best company optics, including coordination of appointments, communication of client needs, and sharing relevant information with appropriate parties.
  • Monitor and report clerical errors for admissions and electronic medical records.
  • Take ownership of the admissions process to create a safe, professional, and excellent client experience.

Requirements:
  • High school diploma or equivalent required; prior experience preferred.
  • Excellent communication and interpersonal skills, with the ability to work effectively with diverse populations.
  • Strong time management and organizational skills, with the ability to multitask and prioritize tasks.
  • Initiative to take charge of unforeseen situations, solve problems, and adapt to changes.
  • Working knowledge of Microsoft Office products and electronic medical records systems.
  • Satisfactory references and a satisfactory criminal background check.
