Position Overview:
The Learning Services Administrative Assistant plays a vital role in supporting the daily functions of the Advising Center and the Learning Services Department. This position requires interaction with a diverse group of students and community members, necessitating a patient and compassionate approach. The ideal candidate will possess strong attention to detail, exceptional customer service abilities, and excellent organizational skills. Reliability and punctuality are essential attributes for this role.
Qualifications:
Required:
- Completion of one year of post-secondary education along with two years of relevant work experience.
- Strong organizational and prioritization skills.
- Proficient written and verbal communication abilities.
- Experience with Microsoft Office Suite (e.g., Word, Excel, PowerPoint).
- Familiarity with Internet usage, email, and scheduling software.
- Ability to maintain and analyze accurate data for reporting purposes.
- Experience with Google Workspace.
- Associate's degree in a related field with one year of relevant experience.
- Background in office support and customer service.
- Experience with Adobe software for document creation and editing.
- Assess students' needs through effective questioning and schedule appointments with advisors, connecting them to necessary resources or referring them to other departments.
- Deliver customer service in a friendly and welcoming manner.
- Handle requests for information, exercising discretion in providing factual and confidential information related to office and college operations.
- Assist students utilizing the Advising Kiosk.
- Compile and distribute materials for career assessments.
- Draft correspondence and other documents using Microsoft Word and/or Google Workspace.
- Create spreadsheets and perform accurate data entry in Microsoft Excel, as well as work with PowerPoint.
- Manage document copying, scanning, printing, emailing, and filing.
- Answer multi-line phone systems.
- Complete projects assigned by the Office Manager, Director, and Associate Dean.
- Process payments and maintain supplies for the Advising Center.
- Ensure a clean and organized environment for students utilizing the Advising Center.

Language Skills:
Ability to read and comprehend written instructions, correspondence, and memos. Ability to communicate effectively with students, staff, and community members through written and verbal means.
Mathematical Skills:
Ability to perform basic arithmetic operations and calculate figures for balancing cash drawers and answering student inquiries.
Reasoning Ability:
Ability to apply common sense to carry out instructions in various forms and solve practical problems.

The employee must be able to communicate effectively, sit, stand, walk, reach, and occasionally lift up to 10 pounds.
