Position Overview:
Seeking an individual with expertise in EPIC appointment management, responsible for scheduling, modifying, and overseeing patient appointments. This role requires the collection of essential demographic and insurance information, ensuring accurate data entry into the EPIC system.
Proficient in establishing patient accounts, updating demographic details, and managing insurance data, while adhering to established protocols for merging duplicate records.
Demonstrates proficiency in following provider-specific scheduling guidelines and overall office scheduling practices to guarantee appropriate patient appointments with the correct sub-specialties.
Accurately prepares additional patient charts, gathering necessary documentation, reports, and results from referring providers. Communicates effectively regarding required diagnostic tests and documentation needed for appointments.
Exhibits strong customer service capabilities, with an emphasis on active listening to foster patient trust and confidence. Effectively communicates in both verbal and written formats with patients, healthcare providers, colleagues, and management.
Possesses comprehensive knowledge of insurance referral processes, securing necessary authorizations from primary care offices as required. Informs patients of their authorization responsibilities and meticulously documents this information in EPIC. Ensures all patients are accurately registered, obtaining and entering all demographic and billing details while documenting relevant notes in their accounts. Identifies when referrals are necessary, submitting requests to the authorization team and notifying patients as needed.
Stays informed on current billing practices and office policies, maintaining up-to-date knowledge regarding participation and referral information.
Regularly documents appointment reasons, referring physicians, and all pertinent information requested by secretarial and patient care staff.
Utilizes appropriate triage questions to assess appointment urgency and consistently reminds patients to bring necessary items such as insurance cards, co-pays, and any required reports or imaging scans.Effectively communicates office policies regarding insurance options, including self-pay and health exchange details, ensuring patients understand their choices.
Completes additional tasks and responsibilities as assigned by supervisors in a thorough manner, adapting to the needs of the team as directed.
Minimum Qualifications:
High school diploma or equivalent with two years of relevant experience in a medical office setting. Equivalent combinations of education and experience will be considered.
