Job Overview

The Facilities Operations Coordinator will be responsible for managing incoming support requests from various CSS, Inc. locations through the Maximo work management system. This position involves assessing requests to ensure they are thoroughly detailed before scheduling any work. Additionally, the coordinator will handle customer inquiries and concerns, collaborating closely with facility staff and management to monitor requests and meet deadlines. Daily communication with the facilities team regarding the status of requests is essential, along with assisting in inventory management.


Key Responsibilities

  • Extract support requests through various channels, including electronic, manual, and telephonic methods.
  • Delegate tasks to the appropriate department for resolution.
  • Provide assistance to personnel and customers regarding inquiries and follow-ups.
  • Ensure all documentation is complete and accurate.
  • Maintain organized records of all documents.
  • Update work orders as instructed.
  • Propose recommendations for process improvements.
  • Communicate effectively with supervisors, staff, and vendors related to job functions.

Minimum Qualifications

Applicants must be at least 18 years old and possess a High School Diploma, GED, or equivalent. A valid driver's license is required. Candidates must be U.S. citizens, permanent residents, or legally admitted refugees or asylees. Strong customer service skills and the ability to interact professionally with clients are essential. Excellent communication skills, problem-solving abilities, and the capacity to pass a drug screening and background check are mandatory.


Safety and Compliance

Adherence to strict safety protocols and a commitment to health and safety regulations is required. Candidates must comply with all relevant state and federal laws, as well as company policies and safety regulations.


Physical Demands

This role requires extensive use of computers, monitors, and keyboards. Candidates should be able to lift and carry objects weighing up to 20 pounds and may need to maneuver carts.


Required Skills

Proficiency in computer applications, particularly Microsoft Office, is necessary. Experience with Computerized Maintenance Management Systems (CMMS), especially Maximo, is preferred. Candidates should possess strong organizational skills and the ability to implement efficient processes. Effective interpersonal and communication skills, both oral and written, are required. Attention to detail and strong time management skills are essential. The ability to thrive in a dynamic, fast-paced environment and build positive relationships with staff and contractors is crucial. Previous experience in customer service and data entry is advantageous.
