Position: RN Scheduling Coordinator

Key Responsibilities:

As a vital member of our scheduling team, your primary focus will be to facilitate seamless operations within our clinics. This role encompasses a variety of scheduling, communication, and administrative tasks aimed at supporting nursing staff and clinic functionality.

  • Scheduling Management: Oversee the scheduling of nursing staff and ensure adequate coverage for clinic hours.
  • Schedule Adjustments: Coordinate any modifications or additions to schedules, ensuring all parties are informed.
  • Daily Reporting: Compile daily information and generate comprehensive end-of-day reports regarding schedule changes for management review.
  • System Management: Responsible for opening and closing days in scheduling systems such as Passageware and Self Scheduler.
  • Initial Schedule Input: Enter initial nurse schedules into Passageware to facilitate customer service appointment scheduling.
  • Customer Service Communication: Maintain direct communication with the customer service team to relay any schedule updates.
  • Time Off Management: Process approved time off requests from RN Managers in Passageware and arrange necessary coverage.
  • Conflict Resolution: Address any scheduling conflicts, documenting actions taken and coordinating resolutions with clients and nursing staff.
  • Escalation Procedures: Report unresolved conflicts to the Supervisor of Operations if not resolved within three hours.
  • Open Communication: Foster a culture of transparent communication, ensuring all stakeholders are kept informed.
  • Administrative Support: Assist with the establishment of new clinics and manage scheduling needs across various departments.
  • Reporting Structure: Directly report to the Operations Supervisor.

Qualifications:

  • High school diploma or GED.
  • Previous scheduling experience in a healthcare environment.
  • Strong verbal and written communication skills.
  • Ability to thrive in a fast-paced, goal-oriented, and collaborative setting.
  • Proficient in Windows-based applications with the ability to navigate multiple screens.
  • Demonstrated reliability and adherence to schedules.
