Overview:
Are you looking to advance your career in the healthcare sector? Our client is seeking a dedicated Document Imaging Chart Recovery Specialist.

Key Responsibilities:
  • Manage the retrieval of discharged medical records from various facility locations.
  • Oversee the collection and conversion of patient paper medical records into Electronic Medical Records (EMR) efficiently for healthcare professionals' access.
  • Evaluate the contents of medical records to ensure compliance with federal, state, and regulatory standards.
  • Gather discharged medical records from all nursing units and outpatient areas on-site.
  • Document received records on discharge logs and prepare them for transport to the Centralized Document Imaging office as necessary.
  • Process and route loose reports or transferred charts promptly.
  • Conduct concurrent scanning in nursing units and discharges per facility guidelines.
  • Ensure availability of supplies for scanning and validation tasks.
  • Timely processing of loose report batches.
  • Maintain Document Imaging equipment and supplies, alerting leadership when restocking is required.
  • Complete all necessary documentation for chart tracking on batch cover sheets.
  • Verify that all pages contain the correct patient identification and barcode information.
  • Cross-check paper records against electronic documents to ensure image quality and completeness.
  • Identify and rectify image/document discrepancies as needed.
  • Accurately designate the destination of paper documents for scanning into the appropriate medical records location.
  • Monitor the Cer-Batch Index application to confirm that charts have been processed and are accessible in PowerChart.
  • Follow up on any missing charts not received from units.
  • Communicate with facility leadership and Document Imaging Leads/Supervisors regarding issues.
  • Maintain records in temporary storage until the designated destruction date, noting record type and discharge date.
  • Keep track of destruction dates for the West Florida region in line with state and corporate policies.
  • Adhere to established schedules and expectations for task completion.
  • Maintain productivity and quality standards as per current benchmarks.
  • Perform additional duties as assigned.
Qualifications:
  • Healthcare experience is essential.
  • Experience with health records is advantageous.
  • Assigned a walking workstation; must be able to stand or walk for extended periods.
  • Education and Experience Required:
    • High school diploma or equivalent.
    • Prior Document Imaging experience in an acute care hospital or similar environment is required if lacking experience with Electronic Medical Records.
  • Education and Experience Preferred:
    • Vocational, technical, or undergraduate education.
    • Prior experience in document imaging and clerical tasks.
  • Knowledge and Skills Required:
    • Intermediate to advanced proficiency in computer applications, including Microsoft Office Suite.
    • Strong troubleshooting, analytical, and comprehension skills.
    • Excellent organizational, interpersonal, communication, and multitasking abilities.
    • Familiarity with security and confidentiality standards related to protected health information.
    • Effective communication skills.
  • Knowledge and Skills Preferred:
    • Understanding of medical terminology.
  • Shift: Tuesday-Saturday, 8:00 AM - 4:30 PM.
  • 36 hours per week.
