Overview:
Are you looking to advance your career in the healthcare sector? Our client is seeking a skilled Document Imaging Chart Recovery Specialist.

Key Responsibilities:
  • Manage the retrieval of discharged medical records from various facility locations.
  • Oversee the collection and transformation of patient paper medical records into Electronic Medical Records (EMR) promptly for healthcare professionals' access.
  • Utilize technical expertise to evaluate medical record contents and ensure compliance with federal, state, and regulatory standards.
  • Gather discharged medical records from all nursing units and outpatient areas within the facility.
  • Document received records accurately on discharge logs and prepare them for transport to the Centralized Document Imaging office as necessary.
  • Process and route loose reports or transferred charts efficiently.
  • Conduct concurrent scanning in nursing units and discharges following facility protocols.
  • Ensure availability of necessary supplies for scanning and validation tasks.
  • Process loose report batches in a timely manner.
  • Maintain Document Imaging equipment and supplies, alerting leadership when inventory is low.
  • Complete all required documentation for chart tracking accurately.
  • Verify that all pages include appropriate patient identification and barcodes.
  • Cross-check paper records against electronic documents to ensure image quality and identify missing documents.
  • Identify and rectify image/document errors as necessary.
  • Accurately determine the destination of paper documents for proper scanning into medical records.
  • Monitor the Cer-Batch Index application to confirm that charts have been properly processed for end-user access.
  • Follow up on any missing charts not received from units.
  • Notify relevant facility leadership and Document Imaging supervisors as needed.
  • Maintain records in temporary storage until the designated destruction date, noting record type and discharge date.
  • Keep track of destruction dates for the West Florida region in compliance with state and corporate policies.
  • Adhere to established schedules and expectations for task completion.
  • Maintain productivity and quality standards as per current guidelines.
  • Perform additional duties as assigned.
Qualifications:
  • Healthcare experience is essential.
  • Experience with health records is advantageous.
  • Must be able to work at a walking workstation and stand/walk for extended periods.
  • Education and Experience Required:
    • High school diploma or equivalent.
    • Prior Document Imaging experience in an acute care hospital or similar environment is required if lacking experience with Electronic Medical Records.
  • Education and Experience Preferred:
    • Vocational, technical, or undergraduate education.
    • Previous experience in document imaging and clerical tasks.
  • Knowledge and Skills Required:
    • Intermediate to advanced computer proficiency, including Microsoft Office Suite (Word, Outlook, Excel, OneNote).
    • Ability to troubleshoot and analyze technical information effectively.
    • Strong organizational, interpersonal, communication, and multitasking abilities.
    • Familiarity with security and confidentiality regulations regarding protected health information.
    • Effective communication skills.
  • Knowledge and Skills Preferred:
    • Understanding of medical terminology.
  • Work Schedule: Tuesday to Saturday, 8:00 AM to 4:30 PM.
  • 36 hours per week.
