About Cradles to Crayons:

Founded in 2002, Cradles to Crayons (C2C) is dedicated to supporting children from birth to age 12 who are experiencing homelessness or living in low-income situations. We provide essential items such as clothing, shoes, diapers, and school supplies at no cost, ensuring that every child has the necessities to thrive at home, in school, and during playtime. Our vision is a future where all children have access to the essentials they need to succeed.

In the United States, two in five children face Clothing Insecurity, lacking basic necessities during crucial developmental years. This issue contributes significantly to school absenteeism and has both immediate and long-term social and economic repercussions. C2C addresses Clothing Insecurity as a core mission, standing out as the only large-scale nonprofit organization focused on this critical resource gap. Since our inception, we have distributed over three million customized packages of essentials to children across various regions, including Massachusetts, Greater Philadelphia, and Chicagoland, through our innovative Giving Factory Direct platform.

Position Summary:

The Senior Administrative Coordinator will provide high-level administrative assistance to the Founder & CEO. This role serves as a vital liaison for both internal and external stakeholders, managing a variety of administrative responsibilities with professionalism and discretion. The ideal candidate will possess excellent communication skills, outstanding organizational abilities, and a proactive approach to work.

Key Responsibilities:
  • Foster a positive organizational culture aligned with Cradles' core values.
  • Oversee the CEO's calendar, prioritizing sensitive matters and resolving scheduling conflicts.
  • Maintain records and manage the meeting schedule for the Board of Directors, including onboarding new members and organizing engagement activities.
  • Assist with the CEO's internal and external communications, preparing reports and presentation materials as needed.
  • Support fundraising initiatives by managing CRM database metrics, tracking donor activity, and facilitating meetings with current and prospective donors.
  • Collaborate with the Finance Department to reconcile pledges and track donations.
  • Ensure timely processing of acknowledgment letters and maintain positive donor relationships.
  • Serve as a primary user of the CRM database within the Senior Leadership Team.
  • Organize and maintain filing systems for the CEO and Board documentation.
  • Coordinate travel arrangements and prepare expense reports for the CEO.
  • Assist in planning and executing organizational events and meetings.
  • Support the CEO's thought leadership initiatives and legislative communications.
  • Handle confidential information with the utmost discretion.
  • Perform additional administrative tasks and projects as required.
Qualifications:
  • Preferred college degree.
  • Minimum of 3 years of professional experience in an administrative role.
  • Proven experience in providing executive support.
  • Strong written and verbal communication skills, with an emphasis on relationship-building.
  • Proficiency in database management; experience with Salesforce is advantageous.
  • Expertise in Microsoft Office Suite, particularly in creating presentations.
  • Exceptional organizational skills and meticulous attention to detail.
  • Ability to work independently and collaboratively in a goal-oriented environment.
