Job Summary

We are seeking a highly skilled and experienced Executive Assistant to provide administrative support to the Chief of Police. This is a unique opportunity to work in a dynamic and fast-paced environment, supporting the Chief and Command staff in their daily operations.

Key Responsibilities
  • Provide administrative support to the Chief of Police, including maintaining their calendar and schedule.
  • Coordinate and arrange for executive-level Police Department representation at programs, special events, and functions.
  • Relieve command staff of administrative work, including receiving and responding to complaints and providing assistance in resolving operational and administrative problems.
  • Directly interact with residents requesting to see the Chief of Police, listening to their complaints/concerns and resolving the issue if possible.
  • Screen inquiries and organize the flow of communications, paperwork, and activity through the Chief's office.
  • Prepare and process a variety of documents and forms, including reports, correspondence, memoranda, agenda items, and agreements.
  • Maintain office records, organize and oversee the Chief's filing system, and ensure the proper routing, location, and status of all important transactions.
  • Process all Police Department permits, including Amplified Sound Permits, Block Party Permits, Residential Special Event Permits, and Visa/Clearance Letters.
  • Prepare payroll documents and timesheets for the Police Department.
  • Maintain a calendar of all Police Department employee performance evaluation dates and track all evaluations in process.
  • Work with the Administrative Sergeant to process all travel requests and complete expense reports.
  • Provide backup at the front counter when Police Service Officers are busy with inmates.
Requirements
  • High School graduation or equivalent required; five years of increasingly responsible administrative and customer support experience, including administrative responsibilities of a highly sensitive nature.
  • College or professional administrative training and experience in a Police Department or administrative office highly desirable.
  • Possession of a valid Class C California Driver's License with a safe driving record required and must be maintained as valid during the course of employment.
Working Environment

The work environment is primarily in a standard office setting with extensive public contact and constant interruptions. The office is located in a facility with a jail, which may expose employees to unpleasant odors and noise.

The physical demands of the job require sufficient ability and mobility to work in an office setting, stand or sit for prolonged periods, walk up and down stairs, and occasionally stoop, bend, kneel, crouch, reach, and twist. The employee must be able to lift, carry, push, and/or pull light to moderate amounts of weight and operate office equipment requiring repetitive hand movement and fine coordination.
