We are looking for a highly organized, proactive, and collaborative individual who is enthusiastic about contributing to a dynamic team.
Your primary responsibilities will include coordinating meetings both internally and with key external stakeholders such as clients, board members, and investors.
You will also oversee travel arrangements and play a crucial role in ensuring the efficient operation of the President's office.
In addition to assisting the President, you will provide support to key executives including our Chief Legal Officer and various finance team members.
Key Responsibilities• Manage the President's calendar, prioritizing appointments, meetings, and travel logistics.
• Serve as a gatekeeper, filtering inquiries and meetings to optimize the President's time.
• Organize and coordinate travel arrangements, including flights, accommodations, and itineraries.
• Handle expense reports for the President and assist direct reports as needed.
• Plan and coordinate large team events such as Town Halls, Office Visits, Executive Strategy Sessions, and Customer Engagements.
Qualifications for Success
We are looking for candidates who:
• Will primarily work from our office (with flexibility to adjust based on collaboration with the President).
Your experience should encompass some or all of the following:
- Exceptional calendar management skills, including the coordination of complex executive meetings and travel.
- Demonstrated ability to engage with clients and staff at all organizational levels.
- Prior experience as a senior executive management assistant is essential.
- Experience in building and maintaining relationships with clients and vendors.
- Proven ability to manage projects across various levels and departments, as well as with external partners.
• High level of professionalism and confidentiality.
• Excellent verbal and written communication skills.
• Outstanding organizational skills; detail-oriented.
• Proficient in basic computer applications, including Microsoft Excel, Word, PowerPoint, and Outlook.
• Energetic, goal-oriented team player with a strong work ethic.
• Bachelor's degree from an accredited institution or significant experience in administrative roles.
