Job Title: Office Assistant

Job Summary:

The Larko Group is seeking a highly organized and detail-oriented Office Assistant to join our team in Chicago. As the first point of contact for visitors, clients, and vendors, you will be responsible for creating a welcoming and professional atmosphere in our office.

Key Responsibilities:

  • Front Desk Operations: Greet guests warmly, manage incoming calls and emails, and maintain the overall appearance of the reception area.
  • Executive Support: Manage calendars, coordinate internal and external meetings, and ensure schedules run smoothly for multiple executives.
  • Travel Coordination: Handle all aspects of travel arrangements, from booking flights and accommodations to coordinating ground transportation and preparing itineraries.
  • Expense Management: Manage expense reports for executives, ensuring timely submission and reimbursement, and tracking expenses to ensure accuracy.
  • Administrative Tasks: Maintain and organize electronic files, ensure the smooth operation of office equipment, and order and maintain office supplies and inventory.

Requirements:

  • A bachelor's degree is preferred with 2+ years of administrative experience in a professional setting.
  • Proficiency with Microsoft Office Suite and other meeting platforms.
  • Excellent interpersonal and communication skills (verbal and written).
  • High attention to detail and accuracy in work.
  • Ability to prioritize and handle multiple projects simultaneously.
  • Time management and ability to meet deadlines.
  • Ability to be proactive and take initiative.
