Position Overview: The Sales Support Specialist plays a crucial role in facilitating the administrative and operational aspects of the Sales department. This position is essential for ensuring a seamless workflow and delivering outstanding service to all clients and guests.

Key Responsibilities:

  • Manage incoming telephone and email communications, responding promptly and appropriately.
  • Oversee the distribution of mail and correspondence.
  • Stay updated on the latest technological advancements relevant to the role.
  • Organize and file all relevant documents in a timely manner.
  • Draft and manage all departmental correspondence.
  • Maintain a sufficient inventory of office supplies.
  • Ensure the efficient operation of the office environment.
  • Document and distribute meeting minutes as required.
  • Maintain a trace file as necessary.
  • Prepare Banquet Event Orders (BEOs) tailored to client specifications.
  • Assist with the daily functions of the Business Center as needed.
  • Support in copying, faxing, and mailing tasks.
  • Welcome guests, clients, and employees with a friendly demeanor.
  • Participate in meetings and training sessions as mandated by management.

Qualifications:

  • High School diploma or equivalent is required; experience in hospitality or a related field is preferred.
  • A minimum of 3 to 5 years of progressive experience in hospitality or a related area is desirable.
  • Relevant college coursework is advantageous.
  • Proficient computer skills are essential.
  • Flexibility in working hours may be necessary.
  • Ability to exert up to 20 pounds of force occasionally and up to 10 pounds frequently.
  • Maintain a warm and approachable demeanor at all times.
  • Effective verbal and written communication skills are required to interact with all levels of staff and guests.
  • Strong listening skills to understand and address concerns raised by employees and guests.
  • Ability to multitask and prioritize departmental responsibilities to meet deadlines.
  • Approach all interactions with guests and employees in a courteous and service-oriented manner.
  • Attend all required meetings and training sessions.
  • Adhere to high standards of personal appearance and grooming.
  • Comply with company standards and regulations to promote safe and efficient operations.
