Job Overview

Position Summary:

The HR Operations Specialist plays a crucial role in supporting the Human Resources department within the Electric Vehicle Industry. This position involves managing employee records, ensuring compliance with relevant laws and regulations, coordinating interview processes, and overseeing new hire procedures, along with various other responsibilities to enhance HR functions.

The ideal candidate will exhibit a professional demeanor, possess outstanding interpersonal skills, and demonstrate the ability to collaborate effectively within a team. The role demands a proactive approach, adaptability to a dynamic work environment, and the capacity to communicate clearly and effectively across all organizational levels.

Key Responsibilities:

  • Draft and prepare offer letters and employment agreements for candidates selected by the HR leadership.
  • Facilitate the onboarding process for new employees, ensuring all necessary documentation is completed and organized, and conducting orientation sessions to introduce them to company culture and policies.
  • Maintain accurate records of employee certifications using appropriate software.
  • Assist in the preparation of legal documents required by the HR and Legal departments.
  • Conduct regular audits of HR data and record-keeping systems to ensure accuracy and compliance.
  • Support the HR team in managing employee benefits programs.
  • Provide assistance to employees regarding HR policies and procedures.
  • Ensure that human resource files and records are kept up-to-date and secure.
  • Respond to common inquiries from applicants and employees about policies, benefits, and hiring processes, escalating complex issues to senior HR staff as necessary.
  • Safeguard the confidentiality and integrity of HR records stored in shared drives.
  • Conduct periodic reviews of HR files to confirm that all required documentation is collected and filed correctly.
  • Provide administrative support to the HR department, including managing incoming mail and maintaining office supplies.
  • Stay informed about current HR policies, state and federal regulations, and industry trends to ensure compliance.
  • Assist employees with inquiries related to policies and procedures.
  • Support HR leadership in promoting and enforcing company policies.
  • Help management track employee training and provide support as needed.
  • Foster positive employee relations and address any issues that arise.
  • Contribute to special HR projects, including safety initiatives.
  • Assist in drafting correspondence as required.
  • Support Talent Acquisition efforts with tasks related to new hires, such as background checks and orientation.
  • May assist with payroll-related tasks, including processing and addressing employee inquiries.
  • Act as a liaison between the organization and external benefits providers.
  • Assist in organizing special events such as benefits enrollment and employee recognition activities.
  • Communicate with facilities management regarding facility-related tasks as necessary.
  • Perform additional projects and duties as assigned.

Qualifications:

  • Minimum of 2 years of experience in HR, office administration, or project coordination.
  • A.A. degree required; Bachelor's degree preferred.
  • Familiarity with Leave of Absence regulations such as FMLA and CFRA.
  • Excellent verbal and written communication skills with a friendly and professional demeanor.
  • Strong organizational and problem-solving abilities; adept at managing priorities and workflow.
  • Proficient in Microsoft Office Suite, with intermediate to advanced skills in MS Outlook.
  • Ability to work independently with minimal supervision.
  • Attention to detail is essential.
  • Ability to interact effectively with individuals at all levels of the organization.
  • Good judgment and the ability to make timely decisions.
  • Flexibility and willingness to adapt to changing priorities.

Pay: $26.00 per hour
Work Location: In-person, no hybrid or remote options available.
Schedule: Monday to Friday, 8:30 a.m. to 5 p.m. with a 30-minute meal break.
