The HR Operations Specialist plays a crucial role in supporting the Human Resources department within the Electric Vehicle Industry. Key Responsibilities:

  • Draft and prepare offer letters and employment agreements for selected candidates for signature by HR leadership.
  • Oversee the onboarding process for new hires, ensuring all necessary documentation is completed and filed, and conduct orientation sessions to introduce new employees to company policies and culture.
  • Maintain accurate records of employee certifications using appropriate software tools.
  • Assist in the creation of legal documents for HR and Legal departments.
  • Support the HR team in conducting regular audits of HR systems and record-keeping platforms.
  • Facilitate the administration of employee benefits programs.
  • Provide assistance to employees regarding HR-related policies and procedures.
  • Ensure human resource files, records, and documentation are kept current and organized.
  • Respond to common inquiries from applicants and employees regarding standard policies, benefits, and hiring processes, escalating complex issues to senior HR staff as necessary.
  • Safeguard the confidentiality and integrity of HR files and records in designated shared drives.
  • Conduct periodic reviews of HR files to confirm that all required documents are collected and appropriately filed.
  • Offer clerical support to the HR department, including sorting mail and managing office supplies.
  • Stay informed about current HR policies, state and federal regulations, and industry trends to ensure compliance.
  • Assist employees with inquiries related to policies and procedures.
  • Support HR leadership in educating staff on company policies and ensuring adherence.
  • Help management track employee training and provide support as needed.
  • Promote positive employee relations and address any issues that arise.
  • Contribute to special HR projects, including safety initiatives.
  • Prepare correspondence as requested.
  • Assist Talent Acquisition with new hire tasks such as background checks and orientation.
  • May provide support for payroll functions, including processing, addressing employee inquiries, correcting errors, and distributing checks.
  • Act as a liaison between the organization and external benefits providers, including health, disability, and retirement plan vendors.
  • Assist in planning and executing special events such as benefits enrollment, company-wide meetings, employee recognition activities, and celebrations.
  • Coordinate with facilities management and assist with related tasks as necessary.
  • Perform additional projects and duties as assigned.

Qualifications:

  • Minimum of 2 years of experience in HR, office administration, or project coordination.
  • A.A. degree required; Bachelor's degree preferred.
  • Familiarity with Leave of Absences such as FMLA, CFRA, and PFL.
  • Excellent verbal and written communication skills, with a friendly and professional demeanor.
  • Strong organizational and problem-solving abilities; adept at managing priorities and workflow.
  • Proficient in Microsoft Office Suite, with intermediate to advanced skills in MS Outlook.
  • Ability to work independently with minimal supervision.
  • High attention to detail.
  • Ability to interact effectively with a diverse range of individuals at all organizational levels.
  • Good judgment with the capacity to make timely and sound decisions.
  • Flexibility and willingness to adapt to changing priorities with enthusiasm.
