Job Summary/Description:The Associate Director of Financial Aid – Scholarships, under the supervision of the Director of Financial Aid and Scholarships, is tasked with the comprehensive oversight and management of scholarship initiatives. This includes, but is not limited to, distinguished, endowed, athletic, and academic scholarships, along with other financial aid responsibilities as designated. The Associate Director is responsible for delivering exceptional service to students, families, and various stakeholders, with a particular emphasis on scholarship-related matters. Collaboration with multiple campus offices is essential to develop, define, and promote scholarship opportunities for both new and returning students. The role involves assisting with special projects, conducting research, and engaging in reporting activities, as well as producing financial aid and scholarship materials and communications. The Associate Director will also formulate, implement, and assess scholarship policies and procedures while actively participating as a member of the Financial Aid and Scholarship leadership team.
Typical Duties/Job Duties:- Collaborate closely with the director to lead the Office of Financial Aid and Scholarship, focusing specifically on scholarship programs.
- Engage with the Office of Development to ensure that endowed scholarships are utilized effectively and donor expectations are fulfilled.
- Work in conjunction with the Athletics Department to guarantee compliance with NCAA regulations during scholarship awards.
- Coordinate the selection process for scholarship recipients, authorize disbursements, monitor and reconcile expenditures, and ensure ongoing eligibility of recipients.
- Continuously oversee all accounts to ensure that funds are allocated appropriately and within budgetary constraints.
- Provide guidance to students and their families regarding scholarship and overall financial aid eligibility; assist in completing applications and gathering necessary documentation; address inquiries, and resolve complex situations involving scholarship decisions.
- Represent the office and institution, with a focus on scholarships, at on-campus and off-campus events, and participate in professional development by attending relevant conferences and meetings.
- Identify scholarship opportunities for which students may qualify.
- Assist with university audits as required.
- Prepare and submit required reports for all scholarship programs governed by state, federal, and institutional guidelines.
- Offer detailed explanations regarding scholarship management and maintain accurate scholarship records and data.
- Stay informed about state, federal, and institutional regulations, as well as financial aid policies and procedures, to ensure that stakeholders receive accurate and timely information.
- Perform other duties as assigned.
- Possess a thorough understanding of state, federal, institutional, and other agency regulations governing student financial aid programs.
- Have extensive knowledge of scholarship and financial aid policies and procedures, along with a solid grasp of related practices from closely interacting offices.
- Exhibit creative thinking, planning, and organizational skills necessary for managing university scholarship accounts.
- Demonstrate a high level of computer proficiency, particularly with database applications such as Banner.
- Show expertise in Excel, Word, and PowerPoint, with strong data maintenance capabilities.
- Possess excellent analytical and problem-solving skills.
- Exhibit strong oral and written communication abilities.
- Demonstrate effective interpersonal, leadership, and consensus-building skills.
- Show proficiency in project planning and management.
A minimum of five years of successful professional experience in financial aid, scholarships, or related areas within higher education or similar organizations. A Bachelor's degree in business, education, or a related field is required.
Preferred Qualifications:Experience in fund and budget management, along with supervisory and administrative responsibilities. Demonstrated familiarity with Banner Financial Aid and Student Modules is preferred.
