Job Summary/Description:

The Associate Director of Financial Aid – Scholarships, under the supervision of the Director of Financial Aid and Scholarships, is responsible for the comprehensive oversight and management of scholarship initiatives, which encompass various programs including distinguished, endowed, athletic, and academic scholarships, as well as other financial aid responsibilities as assigned. This role emphasizes delivering exceptional service to students, families, and other stakeholders with a particular focus on scholarship-related matters. The Associate Director collaborates with multiple campus offices to identify, define, and promote scholarship opportunities for both new and returning students. This position also contributes to special projects, research, development, and reporting tasks, along with the creation of financial aid and scholarship communication materials. The Associate Director is tasked with developing, implementing, and assessing scholarship policies and procedures while actively participating as a member of the Financial Aid and Scholarship leadership team.

Typical Duties/Job Duties:
  1. Collaborates closely with the director in the overall leadership of the Office of Financial Aid and Scholarship, with a specific emphasis on scholarship programs.
  2. Partners with the Office of Development to ensure that endowed scholarships are utilized appropriately and that donor expectations are fulfilled.
  3. Coordinates with the Athletics Department to guarantee compliance with NCAA regulations when awarding scholarships.
  4. Oversees the selection process for scholarship recipients, authorizes disbursements, monitors and reconciles expenditures, and ensures recipients maintain eligibility.
  5. Continuously reviews all accounts to ensure funds are allocated correctly and within budgetary constraints.
  6. Advises students and their families regarding scholarship opportunities and overall financial aid eligibility; assists in completing applications and gathering necessary documentation; addresses inquiries, and provides information to students, parents, and other stakeholders; resolves complex situations involving scholarship decisions.
  7. Represents the office and university (with a focus on scholarships) at various events and engages in professional development by attending relevant conferences and meetings.
  8. Identifies scholarships for which students may qualify.
  9. Assists with university audits as required.
  10. Prepares required reports for all scholarship programs administered by state, federal, and institutional entities.
  11. Maintains detailed records and data regarding scholarship management.
  12. Possesses a thorough understanding of state, federal, and institutional regulations, as well as financial aid and university policies, to ensure accurate and timely information is provided to clients.
  13. Performs other duties as assigned.
Knowledge, Skills and Abilities:
  • In-depth knowledge of state, federal, institutional, and other agency regulations governing student financial aid programs.
  • Extensive understanding of scholarship and financial aid policies and procedures, along with a reasonable grasp of related office practices.
  • Demonstrated creative thinking, planning, and organizational skills essential for managing university scholarship accounts.
  • Proficient in computer applications, particularly database systems such as Banner.
  • Strong command of Excel, Word, and PowerPoint; data maintenance skills are essential.
  • Excellent analytical and problem-solving capabilities.
  • Strong verbal and written communication skills.
  • Effective interpersonal, leadership, and consensus-building abilities.
  • Proficient in project planning and management.
Minimum Qualifications:

A minimum of five years of successful professional experience in financial aid, scholarships, or related areas within higher education or similar organizations.
Possession of a Bachelor's degree in business, education, or a related field.

Preferred Qualifications:

Experience in fund and budget management, along with supervisory and administrative responsibilities.
Demonstrated familiarity with Banner Financial Aid and Student Modules.
