Job Overview

Position: Construction Project Coordinator - ARB, Inc.

ARB, Inc. (Primoris) is in search of a Project Coordinator/Timekeeper/Office Manager to support projects across Southern California. This role is designed for individuals who thrive in a collaborative, dynamic setting.

Essential Qualifications

  • Enthusiastic attitude with a willingness to assist wherever needed
  • Quick adaptability with exceptional organizational skills, maintaining high accuracy and attention to detail in a fast-paced environment
  • Proficient in Microsoft Office Suite (Excel, Word, Outlook)
  • Capable of creating and managing spreadsheets in Excel
  • Strong verbal and written communication skills, able to engage with various levels of personnel
  • Ability to follow instructions, prioritize tasks, manage multiple responsibilities, and work under pressure
  • Experience working both collaboratively in a team and independently
  • Open to sharing ideas and collaborating to enhance operational efficiencies
  • Willingness to travel on short notice within Southern California
  • Flexible working hours ranging from 40 to 60 hours per week depending on project demands
  • Background in Construction and/or Oil & Gas sectors is preferred
  • Familiarity with Viewpoint Vista and/or pVault is advantageous
  • Experience with Labor Unions and understanding of Labor Union Agreements is a plus

Key Responsibilities

  • Collect and manage Union & Administrative timesheets on a weekly basis
  • Input labor, equipment, and third-party vendor commitments into Excel daily
  • Submit labor timesheets to the Payroll Department weekly
  • Process equipment timesheets for the Equipment Department weekly
  • Organize, scan, and file timesheets and receivers for multiple projects daily
  • Verify, reconcile, code, and approve vendor invoices in an electronic system (pVault) and log invoices in Excel daily
  • Conduct weekly audits of job performance
  • Compile documentation to prepare billing packages and change order packages
  • Perform various administrative tasks as required

This position involves field assignments, where the candidate will be designated to a project site for the project's duration. Most assignments will be located across California, primarily in the LA Basin area, with some projects extending into Nevada and Arizona.

  • Hourly wage ranging from $25 to $35, based on skills and experience
