Role Overview: The Patient Access Representative II (PAR II) plays a crucial role within the ambulatory team, combining administrative and clinical responsibilities. This position is vital for ensuring efficient patient flow and operational effectiveness within the clinic.
Key Responsibilities:
Administrative Duties:
- Welcome patients with professionalism and courtesy.
- Manage incoming calls and take precise electronic messages.
- Schedule patient appointments using electronic systems, adhering to established guidelines.
- Conduct daily insurance verifications through the designated system.
- Efficiently register patients for appointments to facilitate successful claims processing.
- Maintain accurate records of daily co-payments collected.
- Obtain necessary patient consents and signatures for treatment.
- Support billing and reimbursement processes for services rendered.
- Assist in managing prescription refill requests.
- Organize and scan documents into appropriate medical records.
- Handle incoming and outgoing mail and faxes.
- Facilitate the processing of referrals and coordination of specialty appointments.
- Address office equipment issues and submit maintenance requests as needed.
Clinical Duties:
- Effectively manage patient flow within the clinic by preparing medical records prior to visits.
- Engage in team meetings and huddles to enhance collaboration.
- Assist providers by documenting medical histories and checking vital signs.
- Communicate wait times and expectations clearly to patients.
- Provide timely updates to providers regarding patient concerns.
- Ensure cleanliness and readiness of examination rooms.
- Support providers during clinical procedures and participate in quality improvement initiatives.
- Contribute to staff meetings and ongoing education sessions.
- Assist colleagues with their responsibilities as needed.
- Monitor and update health maintenance reminders and orders.
- Coordinate follow-up appointments and screening tests.
- Engage in proactive management of chronic diseases through patient outreach.
- Ensure availability of necessary instruments and supplies for clinical sessions.
- Perform additional duties as required.
Qualifications:
Education: High school diploma or equivalent; completion of an accredited medical assistant program.
Certifications: Current AHA Basic Life Support Certification.
Skills: Proficient in English, with knowledge of a second language preferred. Previous experience as a Medical Assistant and familiarity with administrative tasks in a clinical environment is advantageous.
