Position Overview:
The Event Planning Specialist will assist the catering division to optimize service delivery for our clients. This role requires exceptional attention to detail, strong communication skills, and the ability to manage multiple tasks simultaneously. Responsibilities include a variety of administrative functions such as answering inquiries, bookkeeping, and organizing files.
Key Responsibilities:
- Greet guests and clients, both in person and over the phone, addressing inquiries and gathering event details.
- Input sales and vendor invoices into the system on a weekly basis.
- Support the Director in generating proposals, creating floor plans, and preparing banquet orders as necessary.
- Maintain accurate records of maintenance and corrective journal entries.
- Ensure timely reconciliation of depository accounts.
- Collaborate with the Regional Accounting Specialist on reporting and reconciling payments.
- Generate invoices and manage Accounts Receivable, providing weekly updates to the Director.
- Oversee office supply inventory and ensure it is adequately stocked.
- Capture photographs and videos for promotional purposes.
- Perform additional duties as assigned.
Preferred Qualifications:
- Bachelor's degree, preferably in Accounting or Finance.
- Minimum of two years of accounting experience.
- Proficient in Microsoft Excel.
- Strong communication skills across all levels of the organization.
- Able to thrive under pressure and meet deadlines.
- Detail-oriented team player with a proactive approach.
- Experience with account reconciliation software.
