Job Summary

We are seeking a highly skilled and motivated Educational Outreach and Support Coordinator to join our team at the University of Oklahoma. This is an exciting opportunity to work in a dynamic and supportive environment, contributing to the success of our students and the university as a whole.

Key Responsibilities
  • Assist with day-to-day office management responsibilities, ensuring the smooth operation of the Student Conduct office.
  • Supervise and coordinate student employees and peer educators, providing guidance and support to help them achieve their goals.
  • Coordinate clerical office duties and support, including ordering supplies, handling cash, processing invoices for payment, and onboarding/offboarding employees.
  • Facilitate training and outreach services for OU community members, promoting a culture of respect and inclusivity.
  • Serve as a university hearing officer and as a liaison to University departments, providing expert advice and support.
  • Maintain and monitor the Student Conduct database system, ensuring accurate and up-to-date records.
  • Assist with planning, development, and implementation of designated student programs and services, aligning with the university's mission and goals.
  • Assess the needs of students and help develop and implement targeted programs and services, promoting student success and well-being.
  • Conduct workshops, seminars, classes, and other special programs for students, providing valuable learning experiences.
  • Maintain records, including but not limited to student files, inventory, personnel, and other office files, ensuring confidentiality and accuracy.
  • Assist with development and administration of office policies and procedures, ensuring compliance with Federal, State, and University policies and regulations.
  • Research, collect, and analyze data or information, preparing reports or responses to inquiries, as needed.
  • Oversee and provide professional administrative support, financial management, and budget planning for the department.
Requirements
  • High School Diploma/GED, AND 12 months office, clerical, or administrative experience.
  • Working knowledge of office procedures, accounting processes, and Microsoft Office Suite (Outlook, Excel, and Word).
  • Ability to work as a team member, complete tasks in an efficient and timely manner, and multitask, be organized, and self-motivated.
  • Basic math skills, computer skills, including proficiency in navigating and maintaining databases, and detail-oriented for accuracy of data and information.
  • Highly organized and ability to handle multiple projects and deadlines, communicate well and build quickly with students, faculty, and staff.
  • Outstanding communicator and strong writer, with the ability to present views in a clear and compelling manner.
  • Familiarity working with a university information management system, experience producing budgetary reports, and ability to effectively communicate both one-on-one and to large groups.
  • Ability to objectively evaluate both allegations and defenses, effectively present evidence to a hearing panel, and produce reports of investigations and work within tight deadlines.
  • Ability to remain calm in stressful or confrontational situations, communicate directions and expectations effectively, and create and deliver effective training presentations.
  • Superior, balanced judgment with the ability to manage sensitive and confidential information professionally and appropriately with great discretion.
  • Ability to anticipate problems, critical issues, and opportunities as they arise and advise accordingly.
Preferred Qualifications
  • Bachelor's Degree in a related field.
  • 2 years of experience, including one year of professional, post-grad experience in Student Affairs, Student Conduct, Restorative Practices, Alternative Dispute Resolution, and/or Human Relations.
  • Familiarity with electronic student conduct information management systems: Maxient.
  • Thorough knowledge of Student Affairs, Student Conduct, Student Life, and Residence Life.
  • Outstanding communication skills, demonstrated by the ability to interact comfortably with a wide range of diverse people, including professional staff, students, faculty, parents, system-wide colleagues, community partners, and media.
  • Excellent organizational skills, as demonstrated by the ability to organize workflow, manage multiple tasks and functions simultaneously, balance numerous demands, and evaluate competing priorities and adjust planning as needed.
  • Exceptional critical thinking skills, demonstrated by the ability to analyze large amounts of information, synthesize results, and facilitate resolution of difficult challenges, including the ability to handle issues of complex and extreme political sensitivity.
  • A strong student-centered philosophy, strong leadership skills, demonstrated by the ability to teach, influence, and inspire others to take action based on vision and strategic objectives.
  • Intercultural competence and understanding of campus climate, experience using metrics, learning outcomes, assessment, and creating statistical reports.
  • Familiarity with using conflict resolution and/or restorative justice practices in student conduct, familiarity and/or experience working with fraternities and sororities.
  • Strong coaching skills, essential to mediate conflict, problem-solve, and respond appropriately to concerns.
  • Ability to create cross-campus partnerships and collaborations with other colleagues, demonstrates administrative and political acumen to work closely with staff in other offices that provide services to students.
  • Knowledge of relevant federal, state, and local laws, policies, ordinances, and legislation that may impact students and institutions of higher education (including FERPA, VAWA, Clery Act, Title IX, etc.).
