We are in search of a meticulous and organized Office Coordinator to enhance our HVAC service division. This position will offer vital assistance to the department and may encompass some duties typically associated with a Service Coordinator. Core Responsibilities:

Administrative Duties:

  • Respond to and direct incoming calls, take messages, and address inquiries promptly and professionally.
  • Oversee office communications, including emails, memos, and reports.
  • Organize and maintain departmental files, records, and documentation.
  • Assist in the scheduling and coordination of meetings, appointments, and departmental activities.
  • Prepare and process invoices, purchase orders, and other financial documentation.

Service Coordination:

  • Support the scheduling and dispatching of HVAC technicians for service calls and maintenance tasks.
  • Track and update service tickets, ensuring timely completion and customer satisfaction.
  • Engage with customers regarding service appointments, follow-ups, and general inquiries.
  • Coordinate with vendors for parts and equipment orders, ensuring timely delivery for service jobs.
  • Maintain an accurate database of customer information and service history.

Qualifications:

  • Demonstrated experience in an administrative capacity, ideally within the HVAC or construction sector.
  • Strong organizational and time management skills with the capability to prioritize tasks effectively.
  • Exceptional communication skills, both written and verbal.
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook) and comfortable utilizing scheduling and database software.
  • Ability to work independently and collaboratively in a fast-paced environment.
