The Conference Coordinator plays a pivotal role in orchestrating the logistics and programming for these events. This position is responsible for managing all facets of conference-related materials and collaborates closely with the Marketing, Sales, and Operations teams.
This role is remote, with occasional travel required.

Salary: $33-40k annually.

Key Responsibilities:
- Build and maintain relationships with key professionals, industry leaders, senior executives, and media within relevant sectors - Networking proficiency is essential.
- Provide professional and service-oriented assistance to clients during daily operations and onsite at conferences, demonstrating leadership, communication, and public speaking skills.
- Oversee the coordination of internal travel, transportation, and shipping arrangements.
- Facilitate the travel arrangements for VIP speakers.
- Manage event planning, logistics, and execution at all stages.
- Collaborate with speakers and sponsors to gather accurate and relevant information for the website, conference brochures, and mobile applications (including logos, firm descriptions, biographies, headshots, presentations, and advertisements).
- Coordinate conference mailings, including notifications for hotel bookings, activity registrations, mobile app updates, and printing material deadlines.
- Engage in direct communication with the accounting department to review the event's financial status, including collections, operating expenses, and reservations.
- Handle complaints from event participants effectively.
- Create and edit content for the conference mobile app, including sponsor advertisements, speaker biographies, and presentations.
- Manage participant registrations through databases.
- Facilitate the organization and coordination of panel discussions for speakers prior to the event.
Qualifications:
- Bachelor's Degree.
- Experience in research and procurement.
- Ability to thrive under pressure.
- Strong interest in event planning.
- Excellent analytical and critical thinking abilities.
- Proficient in multitasking, with the capacity to manage at least five events at different stages.
- Exceptional interpersonal skills, capable of communicating professionally with all levels within and outside the organization.
- Engaging, professional, and diplomatic demeanor with a focus on customer service.
- Self-motivated and able to work independently as well as collaboratively.
- Strong attention to detail.
- Experience with Salesforce is advantageous.
- Applicants should be prepared to work in the office one day per week as part of their responsibilities.
