Event Planning Coordinator

The Event Scheduling Specialist plays a crucial role in supporting the Department of Event Management at Middlebury College. This position involves facilitating the scheduling and service dissemination of event planning for the College, ensuring that events are conducted in compliance with all relevant policies and regulations.
Key Responsibilities:
- Provide guidance and direction to facilitate an effective and efficient event planning process.
- Advise event planners on College policies and procedures, as well as requirements necessary for events to be held in compliance with VT State laws and institutional guidelines.
- Develop and maintain relationships with key internal stakeholders and external partners.
- Schedule events through 25Live to reserve space, deploy support services, and market events to online calendars.
- Support the institutional planning of annual and academic ceremonies, such as Commencement and Convocation.
- Manage event scheduling at the Middlebury Snowbowl and provide backup support to the system administrator for 25Live.
- Assist other members of the Event Management team with department responsibilities as needed.
Requirements:
- Bachelor's degree or related experience required.
- Exceptional communication and problem-solving skills, with the ability to work collaboratively and independently.
- Strong organizational and project management skills, with the ability to manage multiple projects with varying priorities and deadlines.
- Proficiency in Microsoft Office, SharePoint, and Google Docs, with the ability to learn new software programs.
Working Conditions:
The majority of work for this position is conducted in an office setting, with site visits to various spaces on campus and onsite support for large institutional academic ceremonies.
