Position Overview:
As a vital member of our team, the Healthcare Services Coordinator will oversee and manage the daily operations of the reception area within the department. This role is essential in ensuring a seamless experience for both patients and staff.

Key Responsibilities:
  • Coordinate and supervise the workflow of Patient Service Assistants, ensuring efficient operations.
  • Participate in the onboarding and training of new team members, serving as a knowledgeable resource for all staff.
  • Provide essential support to resident physicians and maintain a high standard of service.

Qualifications:
  • Education: High School diploma or GED equivalent.
  • Experience: Minimum of 3 years in a related field.
  • Skills: Proficient understanding of HMO's, PPO's, Medicare, BC/BS, and commercial insurance restrictions.
  • Familiarity with CPT & ICD9 coding and medical terminology.
  • Competence in using computerized medical record systems, including scheduling, registration, and billing.
  • Strong written and verbal communication skills.
  • Aptitude for performing basic arithmetic calculations.
  • Ability to manage multiple priorities and meet deadlines.

Physical and Working Conditions:
Must be able to concentrate and maintain attention to detail while sitting for extended periods. The position is based in a standard office environment with minimal exposure to noise and dust.

Additional Duties:
  • Oversee the computerized scheduling and billing systems, ensuring accuracy in patient appointments and pre-registration tasks.
  • Verify completeness of physician charge sheets and patient insurance information, ensuring correct coding.
  • Handle inquiries from visitors and phone calls, providing information in accordance with established policies.
  • Deliver excellent customer service by assisting patients with appointment reminders and inquiries regarding fees.
  • Manage billing functions within the designated systems promptly after services are rendered.
  • Prepare various documents, ensuring accuracy and professionalism in all communications.
  • Support office operations through clerical tasks, including ordering supplies and preparing mailings.
  • Assist in maintaining accurate records and accounts, ensuring compliance with established procedures.
  • Support front desk staffing needs and assist in training new employees.
  • Maintain up-to-date files for physician licensures and credentialing, ensuring timely renewals.
