The Loan Officer Administrative Associate at Limitless Lending & Investments, LLC is integral to the mortgage process, providing essential support to loan originators in assembling comprehensive loan documentation from initiation to closing. This position combines administrative assistance, client interaction, and loan processing responsibilities to facilitate a seamless lending experience.

Key Information:

  • Work Schedule: Monday - Friday, 8:45 A.M - 5:45 P.M (may vary based on loan funding schedules).
This role requires in-office presence, as remote work is not an option.

Core Responsibilities

Lead to Contract Responsibilities:

• Act as the main contact for clients throughout the loan process.

• Assist loan originators in coordinating appointments with potential and existing clients.

• Respond to incoming leads promptly and maintain a high conversion rate from lead to appointment.

• Manage the calendar of the loan originator, scheduling and confirming appointments.

• Provide administrative support, including maintaining client databases and facilitating the completion of loan applications.

• Evaluate clients' credit and financial situations to recommend suitable loan products.

• Conduct credit checks and prepare the Initial Fee Worksheet based on AUS findings.

• Update credit reports and AUS findings, and follow up with pre-approved clients and referral sources.

• Stay informed about company-approved programs and software, implementing new systems as required.

Contract to Close Responsibilities:

• Track critical dates related to loan transactions and respond accordingly.

• Distribute loan forms, disclosures, and supporting documents to clients, ensuring timely collection of completed paperwork.

• Maintain the originator's database, monitoring active loans and entering necessary data.

• Regularly communicate with clients to follow up on loan applications and address inquiries.

• Assist in gathering and preparing loan applications for submission to processing.

• Order required documents such as 4506T, SSA, Credit Supplements, Account Check, and Work Number as necessary.

• Help resolve file issues and escalate conditions to clear any obstacles on loans.

• Review Closing Disclosures (CD) to ensure fees and cash at closing align with client commitments and avoid discrepancies.

• Provide support during the production and underwriting phases.

• Keep referral sources updated on active loans while adhering to company policies regarding consumer privacy and information security.

Additional Responsibilities:

• Serve as the primary contact for clients and referral sources, ensuring they are informed throughout the process in compliance with Limitless Lending & Investments' SAFE Act and Consumer Privacy/Safeguarding policies.

• Price loans according to company guidelines and communicate fees to the operations team.

• Quote rates and make locking commitments to clients.

• Foster strong relationships with referral sources through prompt responses and exceptional customer service.

• Prepare and send appreciation notes to referral sources and new clients.

• Collect necessary documentation from clients for pre-approval.

• Discuss product features with clients and perform other assigned duties.

Qualifications

• Active MLO licensing required (consideration for 5 years of experience in a brokerage).

• Strong organizational skills with the ability to handle multiple priorities.

• A sense of urgency and responsiveness in client interactions.

• Patience and professionalism in dealings with both internal and external clients.

• Proficient in data entry, PDF software, Microsoft Word, and Excel.

• Strong verbal and written communication skills.

• Basic math skills.

• Computer proficiency required, including MS Office; familiarity with CRM, MLS, DU, and proprietary mortgage software preferred.

• Preferred degree in banking or finance, with a high school diploma or equivalent required.

• Highly motivated and goal-oriented with excellent customer service and communication skills.

• At least 2-3 years of experience in a professional office environment, preferably in an administrative or mortgage support role.
