Position Overview

Job Title: Property Operations Supervisor

Reports to: Community Manager

Location: Various Opportunities

Work Schedule:

  • Full-time – 40 hours per week
  • Part-time – hours may vary
  • Weekly schedule determined by Community Manager based on operational needs
  • On-call responsibilities as required

Key Responsibilities:

  • Under the general guidance of the Community Manager, oversee all aspects of property management.
  • Ensure property performance is maintained during the Community Manager's absence.
  • Foster positive communication with residents, applicants, team members, and external partners.
  • Assist in training staff and supervising their work to ensure high standards.
  • Support the Manager in conducting employee evaluations and recommending promotions or salary adjustments.
  • Conduct community tours and manage application processing and verification.
  • Handle rent collection and ensure timely bank deposits.
  • Maintain daily deposit logs and assist with financial documentation.
  • Support the Manager in managing accounts payable, expense tracking, and budget monitoring.
  • Supervise external contractors engaged in property maintenance.
  • Manage all aspects of resident move-ins, including paperwork and unit inspections.
  • Oversee move-out processes, including inspections and security deposit management.
  • Ensure timely completion of various reports, including:
  1. Daily and weekly operational reports
  2. Monthly occupancy status
  3. Lease expiration tracking
  4. Market analysis
  5. Owner correspondence
  6. Variance analysis
Assist in month-end financial closeout, including report generation and documentation submission.Monitor budget adherence and notify the Manager of any discrepancies.Ensure maintenance staff are aware of budget constraints and spending limits.Prepare and distribute notices, including:
  1. Lease renewals
  2. Payment reminders
  3. Outstanding balances
  4. Compliance notifications
Follow up on notices as necessary.Assist in scheduling maintenance requests and apartment turnovers.Ensure resident requests are addressed promptly and satisfactorily.Manage emergency maintenance situations and keep residents informed of delays.Establish on-call schedules for emergency personnel.Notify the answering service of any staffing changes.Report accidents and emergencies to corporate management immediately and prepare necessary documentation.Maintain regular attendance and punctuality.Adhere to OSHA standards and company safety policies at all times.Understand and comply with company policies and procedures.Maintain a professional appearance and demeanor at all times.Complete required training as mandated by the company.Perform additional duties as assigned.

Team Collaboration:

  • Report directly to the Community Manager.
  • Work collaboratively with team members, residents, and vendors.

Communication Skills:

  • Ability to communicate effectively, both verbally and in writing, for business purposes, including:
  1. Interactions with customers, colleagues, supervisors, and vendors.
  2. Emergency situations requiring clear communication for safety.
Experience in preparing and presenting formal reports to management.Possess strong facilitation skills to manage conflicts and resolve issues.

Qualifications:

  • Must be at least 18 years of age.
  • Excellent communication and telephone skills.
  • Strong organizational and time management abilities.

  • Maintain a positive attitude.
  • Able to manage multiple tasks in a dynamic environment.
  • Successful completion of pre-employment background checks and drug testing is required.

Preferred Qualifications:

  • High school diploma or equivalent.
  • Experience in property management.
  • Familiarity with income collection, resident relations, and marketing strategies.
  • Proficient in Yardi software, Google Suite, and Microsoft Office applications.
