Job Overview

Ascend is seeking a highly skilled Assistant Property Manager to join our team. As a key member of our property management team, you will be responsible for ensuring the successful fiscal and real property management of our commercial properties.

Key Responsibilities
  • Prepare and manage all tenant correspondence, move-ins, and move-outs, as well as related documents.
  • Participate in the preparation of monthly and annual financial reporting packages and project manage above-standard work for tenants.
  • Establish and maintain relationships with building vendors to drive high-quality work and service.
  • Assist the Property Manager with the aging report and follow up on delinquencies.
  • Oversee various capital and TI projects and independently manage smaller construction projects.
  • Interface with tenants and vendors on work order requests, on-site maintenance, improvement projects, and events.
  • Assist the Property Manager with all tenant Common Area Maintenance (CAM) charges, tax assessments, and other miscellaneous billing adjustments.
  • Prepare tenant lease abstracts and vendor agreements.
  • Split and code invoices and research issues with vendor invoices and ensure tenant billbacks have been processed.
  • Track accruals of vendor invoices for accurate month-end reporting.
  • Assist with variance explanations on expense-related items.
  • Ensure tenant files are complete and in compliance with building standards.
  • Responsible for leading regular inspections of properties with janitorial and other building service providers.
  • Develop SOWs and RFPs for recurring and one-time services.
  • Oversee tenant and vendor insurance certificates.
  • Develop strong relationships with tenants and vendors.
Requirements
  • 3 years of experience as a Property Coordinator or Administrator.
  • Strong knowledge of finance and building operations with excellent communication skills.
  • Highly proficient in Microsoft Excel, Word, and Outlook, Yardi, MRI, Timberline, Building Engines, and other commercial real estate software programs.
  • Professional with exceptional problem-solving and analytical skills.
  • Excellent customer service skills and ability to develop long-term relationships with tenants.
