Job Overview

Position Summary: The Administrative Support Specialist plays a crucial role in ensuring the smooth operation of our office. This position involves a variety of tasks that contribute to the overall efficiency of our services.

Key Responsibilities:

  • Process and record payments, ensuring accuracy and timeliness.
  • Prepare and distribute weekly payment mailings.
  • Review and analyze potential clients' payment histories.
  • Create new accounts and maintain daily financial reports.
  • Issue receipts and manage accounts receivable in conjunction with general ledger entries.
  • Calculate finance charges on outstanding accounts and update records accordingly.
  • Draft purchase agreements and provide ownership certificates for sold lots.
  • Maintain an updated map of sold lots.
  • File quarterly sales tax and estimated federal tax returns as directed by the accounting team.
  • Compile annual reports on pre-arranged services for regulatory submission.
  • Handle incoming calls and greet families upon arrival for meetings.
  • Manage incoming mail and perform bank deposit tasks.
  • Prepare Medicaid correspondence for insurance purposes.
  • At the end of each day, finalize and reconcile the Daily Cash Report with bank deposits.

This role is essential for maintaining the integrity of our financial operations and providing exceptional service to our clients.
