The Mechanical Estimation Specialist, reporting to the Estimating Manager, plays a crucial role in ensuring precision and efficiency in the estimation process for construction projects.

Key Responsibilities:

• Upon receiving bid invitations, collects and organizes drawings, specifications, and other essential documents from the General Contractor for the designated project. Ensures that all additional or revised documents are uploaded promptly throughout the bidding phase.

• Establishes and maintains an organized project estimate folder, ensuring all relevant documents are systematically stored.

• Conducts a thorough review of all project documentation to gain a comprehensive understanding of the project scope, including:

  • Architectural drawings for elevations and unit matrices.
  • Structural drawings for assemblies and ratings.
  • Mechanical and plumbing drawings detailing system types and quantities.
  • Specifications regarding material types and warranty requirements.

• Identifies incomplete construction documents and promptly notifies the Estimating Manager and Sales Engineer to address any gaps in information.

• Logs all assigned projects into the Salesforce system, ensuring accurate and up-to-date job information and status.

• Distributes Requests for Quotes (RFQs) to relevant vendors and subcontractors, ensuring timely receipt of quotes, ideally 1-2 weeks before the bid deadline.

• Performs precise quantitative takeoffs of HVAC and plumbing materials, equipment, and fixtures utilizing tools such as Bluebeam and FastPIPE.

• Compiles all gathered information into a comprehensive estimate workbook.

• Prepares an accurate job estimate using Excel templates and formulates a detailed proposal for team review.

• Responsible for completing each General Contractor's bid form, ensuring it aligns with project plans and proposals.

• Collaborates closely with vendors to obtain competitive quotes that adhere to project specifications.

• Evaluates vendor quotes to determine the most suitable options based on accuracy and pricing.

• Initiates an estimate review with the Senior Estimator and Estimating Manager once the estimate is finalized, ideally scheduled at least two days prior to the bid date.

• Engages with the General Contractor and sales team post-proposal submission to address any inquiries regarding scope and pricing.

• Assists in reviewing contract scopes of work and participates in Preconstruction Kickoff Meetings as required.

• Conducts occasional pre-bid site visits to assess existing conditions, as directed.

• Participates in weekly sales and estimating meetings, voicing any concerns regarding deadlines or workload.

• Maintains historical data within the CRM or Salesforce for future budgeting and pricing accuracy.

• Cultivates and sustains strong relationships with vendors.

Incentive Plan:

• This position is eligible for an estimator incentive on awarded projects, up to 1.5% of profit based on bid accuracy and completion.

Required Skills & Abilities:

• Proficient in English communication.

• Comprehensive understanding of complex plumbing and HVAC systems and installation processes.

• Ability to interact effectively with general contractors, vendors, and internal teams.

• General knowledge of construction contracts and estimating practices.

• Commitment to continuous learning and specialized training.

• Exceptional attention to detail while managing multiple tasks.

• Strong time management skills, capable of handling multiple projects with awareness of deadlines.

• Proficient in MS Suite, MS Project, Adobe, Bluebeam, FastPIPE, Salesforce, and Dropbox.

Preferred Qualifications:

• Bachelor's degree in Engineering or Building Sciences.

• Minimum of 8 years' experience in estimating commercial HVAC projects or 2 years in design or management of mechanical and plumbing construction projects.

• Expertise in mechanical system costs and project management.

• Valid driver's license with a clean driving record.

Physical Demands & Work Conditions:

• Requires occasional physical activity, including lifting, climbing, and handling materials.

• Must be able to work from heights and carry weights up to 75 lbs.

• Regularly required to sit, talk, see, and hear, with specific vision abilities necessary for the role.
