POSITION OVERVIEW

This role is situated within the Motor Vehicle Department of the Treasurer's Office, focusing on clerical responsibilities associated with the processing of vehicle titles and registrations. The incumbent will assist clients in completing necessary documentation while ensuring accuracy, completeness, and adherence to regulatory standards. This position entails providing routine information regarding registration protocols, conducting database searches for customer background verification, performing data entry tasks, and managing fee collection and verification. The role reports to the Motor Vehicle Supervisor and does not include supervisory responsibilities.

Key Responsibilities
  • Ensure the accuracy and completeness of customer documentation, including vehicle titles from various jurisdictions, and interpret necessary legal documents for vehicle ownership transfer, such as powers of attorney, divorce decrees, and other relevant court documents.
  • Address documentation deficiencies with clients and guide them on obtaining required information.
  • Conduct background investigations on customers through database searches.
  • Input all registration and title data into the Montana Department of Justice computer system, maintaining high accuracy.
  • Collect and verify fees from clients, ensuring proper transaction balancing at the end of each day.
  • Respond to inquiries via phone and email.
  • Organize and file documents systematically.
  • Engage in special assignments, including license plate inventory, training attendance, and professional representation at Motor Vehicle conferences.
  • Provide support to colleagues by sharing knowledge and skills related to licensing and registration processes, assisting with inquiries, and resolving routine issues.
Additional Duties
  • Perform various other tasks as assigned by the supervisor, which may include participation in special projects, temporary coverage for colleagues, ongoing training, and other functions as required. In the event of a local emergency, employees may be called upon to provide essential services during the crisis and subsequent recovery efforts.
QUALIFICATIONS

This position requires proficiency in various computer software and systems, knowledge of state and county motor vehicle licensing and registration laws, effective verbal and written communication skills, and the ability to work well under pressure while maintaining positive relationships with the public.

EDUCATION & EXPERIENCE

The necessary knowledge, skills, and abilities are typically acquired through a combination of education and experience equivalent to a high school diploma and two years of relevant on-the-job training.
