POSITION TITLE: Executive Assistant

DEPARTMENT: Administration

REPORTS TO: Chief Executive Officer

FLSA STATUS: Exempt

TIME COMMITMENT: Full-time (40+ hours/week); occasional travel and some weekend and evening commitments may be required.

POSITION SUMMARY: The Executive Assistant plays a pivotal role in overseeing the activities of the Chief Executive Officer (CEO) and the Board of Directors at Catholic Charities Diocese of San Diego (CCDSD). This position is crucial for ensuring effective and timely communication with the Board and the leadership team, while maintaining confidentiality and professionalism in all interactions.

PRIMARY RESPONSIBILITIES:

Support for the CEO:

  • Facilitate communication on behalf of the CEO with Board members, donors, and staff regarding program initiatives.
  • Manage the CEO's calendar, including scheduling appointments, preparing correspondence, and arranging travel.
  • Prepare materials for meetings and ensure the CEO is well-informed of upcoming commitments.
  • Assist in fundraising outreach and relationship management with potential partners.
  • Conduct research and prioritize issues addressed to the CEO, ensuring timely follow-up.
  • Maintain effective communication between the CEO's office and other departments.
  • Oversee special projects that impact the organization’s success.

Board Liaison Responsibilities:

  • Serve as the primary contact for Board communications and meeting coordination.
  • Assist in preparing meeting agendas, materials, and minutes for Board meetings.
  • Ensure confidentiality and professionalism in all Board-related interactions.

Qualifications:

  • Minimum of three years of experience supporting senior leadership in a fast-paced environment; nonprofit experience preferred.
  • Strong organizational and analytical skills, with a focus on detail.
  • Proficiency in Microsoft Office Suite and Adobe Acrobat Pro.

WORK SCHEDULE:

The standard work hours are Monday through Friday, 8:00 a.m. to 5:00 p.m., with flexibility required for business needs.
