Position Overview:

As a Patient Services Coordinator, your primary role will involve overseeing the daily operations of the reception team.
Your responsibilities will include ensuring that all team members are welcoming clients and visitors, managing incoming calls, and performing various administrative tasks in a professional manner.



Key Responsibilities:

  • Greet clients as they arrive at the center or contact us by phone, providing information about available services, payment options, and billing procedures.
  • Schedule appointments and direct walk-in clients and emergencies according to established protocols.
  • Handle all incoming calls and route them to the appropriate personnel.
  • Register clients following established registration protocols and collect necessary documentation.
  • Prepare required documents for each client and ensure all paperwork is completed accurately.
  • Review and verify client insurance coverage and calculate any charges owed by the client.
  • Collect deposits or co-pays/deductibles prior to the client’s appointment, in accordance with established policies.
  • Inform clients of their outstanding balances, collect payments, and issue receipts as necessary.
  • Collaborate closely with Providers and Medical Assistants to ensure smooth client flow and minimize wait times.
  • Contact clients to remind them of their appointments.
  • Follow up on clients who miss their appointments.
  • Communicate any client issues or complaints to the clinic manager or designated personnel.
  • Exhibit strong sensory skills, including visual acuity and good hearing.
  • Ability to stand, sit, and move throughout the workday.
  • Work closely with Clinic Managers to follow up with clients who missed their appointments.
  • Demonstrate good communication skills, both verbal and written.
  • Proficient in computer use and Microsoft Office applications.
  • Understand community-based organizations and their resources.
  • Embrace and promote the mission of DNA Comprehensive Therapy Services.

Preferred Qualifications:
Bilingual in Spanish.

  • Ability to thrive in a fast-paced office environment.
  • Physical ability to lift and carry up to 15 lbs.
  • Attention to detail in all tasks.
  • Proficient in operating office equipment, including computers, copiers, and phones, with a typing speed of at least 35 wpm.
  • Ability to interact effectively with others in person and through various communication channels.
  • Familiarity with medical terminology and triage procedures.
  • Ability to relate to clients from diverse backgrounds.
  • Strong problem-solving and communication skills.
  • Commitment to providing dignified healthcare for all.

Education and Experience:

  • High school diploma or GED.
  • Formal training from a vocational school may be considered.
  • One year of experience in a similar medical setting.
