Job Summary

The Patient Experience Representative will be responsible for providing exceptional customer service and administrative support to patients, families, and visitors. This role requires strong communication and interpersonal skills, as well as the ability to work effectively in a fast-paced environment.

Key Responsibilities

  • Customer Service:
    • Provide positive and effective customer service to support departmental and hospital operations.
    • Greet, screen, and direct patients, families, and visitors.
    • Register new patients upon arrival.
  • Patient Registration/Discharge:
    • Monitor clinic activity to ensure the best possible patient experience.
    • Record and process patient demographics, insurance/payment, and referral information for patient encounters.
    • Collect all necessary clinical documentation and information.
    • Transcribe code and patient treatment information into a billing system.
    • Obtain required authorizations, referrals, and verifications of insurance to compile patient and staff schedules.
  • Scheduling:
    • Schedule patient encounters and procedures to coordinate with and across providers, departments, and institutions.
    • Monitor daily schedules and coordinate flow to optimize resource utilization and patient experience.
  • Administration:
    • Maintain personal calendars for physician/supervisor(s).
    • Schedule meetings, programs, and events.
    • Transcribe, type, and proofread correspondence, forms, reports, and other materials involving complex scientific, technical, and/or specialized terminology.
    • Record and forward messages, triage calls for urgent information or services, and initiate calls for emergency services.
    • Participate in the purchasing of inventory.
    • Provide routine clerical support as needed.
  • Technology:
    • Utilize all office technology, including phone systems, email, Microsoft Office programs, and clinical, scheduling, and billing applications.
    • Enroll patients and caregivers in the patient portal.

Requirements

  • High School Diploma/GED required.
  • Previous customer service and/or administrative experience preferred.
  • Bilingual in Spanish preferred.
  • Basic customer service and computer skills required.
  • Ability to communicate effectively both orally and in writing and provide empathy in difficult interpersonal situations.
  • Ability to work with diverse internal and external constituencies.
