**Job Summary**

Thompson Coe, a leading insurance defense law firm, is seeking a highly skilled Legal Secretary to provide exceptional support to our team of civil litigation defense attorneys.

**Key Responsibilities:**

  • Provide administrative support to a team of civil litigation defense attorneys, ensuring seamless day-to-day operations.
  • Draft and prepare basic legal documents, including standard pleadings, discovery, and correspondence, for review and approval by attorneys.
  • Manage and maintain attorney calendars, including litigation deadlines, scheduling meetings, and ensuring timely submissions.
  • Perform basic accounting duties, including processing vendor invoices, preparing check requests, and submitting invoices and expense reports for payment.
  • Handle incoming and outgoing correspondence, including emails, phone calls, and mail, with a high level of professionalism and discretion.
  • Manage electronic filing in both state and federal courts using e-File Texas and NextGen, ensuring accurate and timely submissions.
  • Enter attorney time into billing software using L & A codes, maintaining accurate records and ensuring timely payments.
  • Run conflict checks and open new client matters, including closing files, with a high level of accuracy and attention to detail.
  • Exercise discretion and maintain confidential information, ensuring the highest level of professionalism and integrity.
  • Communicate effectively with clients, court personnel, and other counsel, representing the firm with a high level of professionalism and expertise.
  • Able to multitask and prioritize tasks to assist with handling a busy litigation docket, with a high level of flexibility and adaptability.

**Requirements:**

  • Three plus (3+) years of recent litigation experience in a law firm, with a focus on defense litigation.
  • Strong knowledge of the litigation process, rules of procedure, and excellent litigation, secretarial, grammar, and proofreading skills.
  • Proactive approach with a high level of initiative and ownership of work product.
  • High proficiency in MS Office Suite, with a focus on Word, Excel, and Outlook.
  • Ability to operate standard office equipment, including printers, scanners, and copiers.
  • Experience with electronic court filings, including e-File Texas and NextGen.
  • Familiarity with document management systems, preferably iManage.
  • Ability to turn constructive feedback into best practices for future use.
  • Ability to communicate professionally and effectively with co-workers, clients, courts, and opposing counsel.
  • Ability to read and understand attorney mail and email, with a high level of accuracy and attention to detail.
  • Typing speed of 65+ words per minute, with a high level of accuracy and speed.
