Overview


The Internal Services Department is seeking a meticulous and proactive Facilities Operations Specialist to manage the daily functions of our office facilities.

The Facilities Operations Specialist will ensure that our workplace is secure, tidy, and well-kept, while all facilities-related services cater to the requirements of our staff and visitors.

This position demands exceptional organizational abilities, keen attention to detail, and the capacity to effectively prioritize tasks in a dynamic environment.

Key Responsibilities

  • Oversee and coordinate all facilities-related functions, including maintenance, repairs, cleaning, and security services.
  • Conduct routine assessments of the office facilities to promptly identify and resolve any maintenance or safety concerns.
  • Manage relationships with external vendors and service providers, including contract negotiations, obtaining quotes, and supervising service delivery.
  • Maintain precise records of facilities-related expenditures, budgets, and contracts.
  • Monitor and manage office supplies, equipment, and furniture inventory, ensuring adequate levels are sustained and replenished as necessary.
  • Assist with office relocations, renovations, and space planning projects, coordinating with internal stakeholders and external contractors as needed.
  • Implement and enforce safety and security policies and procedures to ensure compliance with regulatory standards and best practices.
  • Act as the primary contact for facilities-related inquiries, requests, and emergencies, providing timely and effective resolutions.
  • Support special projects and initiatives as assigned by management.
Supervision


The employee operates under the general guidance of the Manager, Facilities, who periodically reviews the employee's performance in terms of overall effectiveness and provides professional and administrative support as required.

The Manager, Facilities approves time sheets, vacation requests, sick leave, and other time off. This position is non-exempt from the overtime provisions of the Fair Labor Standards Act.


Physical Requirements


The Facilities Operations Specialist must maintain the physical capability necessary to perform tasks in an office environment, such as operating a personal computer, keyboard, and other peripheral equipment.

The employee will frequently be required to stand for extended periods, lift heavy objects, and navigate stairs. Occasional travel within the region may be necessary.


Qualifications


Minimum of 5+ years of experience in facilities coordination, property management, or a related role, preferably in a mid to large-sized organization.

Bachelor's degree in facilities management, business administration, or a related field is preferred.


  • Demonstrated experience in facilities coordination, property management, or a similar role.
  • Strong understanding of facilities management principles, practices, and regulations.
  • Excellent organizational skills with the ability to multitask and prioritize competing demands effectively.
  • Outstanding communication and interpersonal skills, with the ability to interact professionally with employees, vendors, and stakeholders at all levels.
  • Proficiency in Microsoft Office Suite.
  • A valid driver's license.
  • Ability to work independently with minimal supervision and collaboratively as part of a team.
  • Flexibility to respond to urgent facilities-related issues as required.
