Position Summary:

The Mailroom Operations Specialist plays a crucial role in overseeing site maintenance while fulfilling mailroom responsibilities. This position also involves providing assistance to the front desk during employee absences. The individual must consistently perform duties to exceed client expectations and promote operational excellence.

Key Responsibilities:

Reporting to the Facilities Supervisor, the Mailroom Operations Specialist will ensure the effective delivery of building maintenance, supply procurement, and related mailroom services. Collaboration with the Facilities Coordinator is essential to guarantee that all maintenance services are conducted efficiently and promptly.

Daily Responsibilities:

The Mailroom Operations Specialist will undertake the following daily tasks, which include but are not limited to:

  1. Execute daily responsibilities as directed by the Facilities Supervisor.
  2. Conduct regular inspections of the facility to uphold high maintenance standards.
  3. Collaborate with the Facilities Coordinator on maintenance and custodial issues, ensuring compliance with safety protocols.
  4. Ensure quarterly maintenance of UPS systems is completed in coordination with the Facilities Coordinator.
  5. Maintain cleanliness in all areas to enhance the experience of employees, vendors, and visitors.
  6. Perform daily site walkthroughs to verify the completion of work orders and generate new requests as necessary.
  7. Respond promptly to all maintenance requests and general correspondence.
  8. Assist with the maintenance, scheduling, and usage of conference rooms.
  9. Inspect MDF and IDF rooms daily, recording temperature readings and reporting issues as needed.
  10. Check AVCN systems in conference rooms daily.
  11. Support the front desk during breaks and absences.
  12. Ensure the reception area is well-maintained and adequately supplied.
  13. Carry out additional tasks as assigned by the Facilities Supervisor.

Qualifications:

  • A college degree is preferred, along with relevant facilities management experience.
  • Strong verbal and written communication skills.
  • Ability to work independently with minimal supervision.
  • Timely feedback to the Facilities Supervisor regarding maintenance and mailroom issues.
  • High level of customer focus to meet client expectations and drive operational excellence.
  • Proven ability to achieve operational results consistently.
  • Experience in coordinating service delivery systems.
  • Efficient and effective work performance.
  • Good organizational and interpersonal skills for consistent duty execution.
  • Background in operations and maintenance budget management is beneficial.
  • Ability to take ownership of daily responsibilities.
  • A valid driver's license is required.
