Administrative Specialist II

The Urban League of Portland is seeking an Administrative Specialist II to join our team. This role will work closely with our Administrative Team to complete tasks associated with responder crew scheduling and timekeeping, as well as various other administrative duties.
Key Responsibilities- Coordinate scheduling for the Portland Street Response and CHAT Programs, including backfilling shifts and managing transfers.
- Perform payroll/timekeeping duties, ensuring pay records are maintained and data is entered into payroll and/or timekeeping systems in an accurate and timely manner.
- Support recruitment efforts, including coordinating onboarding activities, ensuring training compliance, and maintaining employee records.
- Assist the training coordinator with managing and coordinating staff training activities.
- Develop, establish, and maintain logs, files, spreadsheets, and records systems.
- Provide general administrative office support, including ordering business cards, office supplies, and furniture, scheduling conference rooms, and troubleshooting issues related to printers, copiers, and computing equipment.
The Portland Street Response assists people experiencing mental health and behavioral health crises. The goal of the program is to update our first responder system by providing an additional compassionate first response option when 911 is called for someone experiencing low-acuity behavioral health issues.

Requirements- Knowledge and experience coordinating complex schedules, including assisting with leave requests, backfilling field staff, and communicating time-sensitive changes.
- Experience overseeing timekeeping and executing personnel changes.
- Experience organizing, setting priorities, and exercising sound, independent judgment within areas of responsibility.
- Experience establishing and maintaining working relationships with internal and external stakeholders, including diverse, under-represented communities, all levels of staff, staff of other agencies, business leaders, and others encountered in the course of work.
- Knowledge and experience developing, revising, and maintaining standardized documents or forms.
- Experience working in a public safety/first responder environment.
