Position Overview

As an Office Supervisor, you will work under the guidance of the Clinical Manager, responsible for planning, organizing, and coordinating daily operations to ensure the delivery of quality patient care.

Key Responsibilities:

  • Act as the primary liaison between physicians and staff.
  • Provide leadership and support for daily operations within the clinical environment alongside the Pod Liaison and Clinical Manager.
  • Serve as a role model and consultant for staff members.
  • Collaborate with the Clinical Manager to ensure that policies and procedures are effectively communicated and followed.
  • Oversee the creation and maintenance of staff monthly schedules, manage PTO requests, and identify staffing needs proactively.
  • Monitor and manage overtime usage.
  • Coordinate training, monitoring, and evaluation of staff, and assist in the hiring and orientation of new personnel.
  • Evaluate clinical staff performance in conjunction with the Clinical Manager, providing ongoing feedback and conducting annual reviews.
  • Work with Quality Improvement and Practice Transformation teams to implement clinical quality improvement initiatives.
  • Ensure departmental compliance with relevant standards and report any compliance issues.
  • Advance departmental technology in collaboration with the Practice Transformation Department.
  • Facilitate communication between Care Management and Care Coordination to support Meaningful Use initiatives.
  • Adjust workflows as necessary to maintain efficient office operations and compliance with policies.
  • Act as a resource for managing patient concerns and issues.
  • Promote staff development through ongoing education and cross-training opportunities.
  • Implement customer service action plans in collaboration with the Pod Liaison and Clinical Manager.
  • Conduct monthly staff meetings to communicate essential initiatives and updates.

General Job Functions:

  • Deliver direct patient care within the scope of licensure and in accordance with company policies.
  • Prioritize patient care by implementing physician orders and nursing procedures.
  • Communicate any problems or concerns to the Clinical Manager promptly.
  • Ensure timely referrals and consult orders are processed in the EHR.
  • Adhere to universal safety precautions in medication administration and waste disposal.
  • Facilitate transitions of care to urgent care or hospital settings.
  • Perform other duties as required.

Physical Requirements:

  • Ability to push and pull objects, considering weight and frequency.
  • Physical strength to lift heavy items as needed.
  • Mobility to move between locations within the workplace.
  • Agility to maneuver effectively in various situations.
  • Dexterity to perform tasks requiring fine motor skills.
  • Balance during climbing, bending, or reaching.
  • Endurance for prolonged standing, walking, or typing.

Environmental Considerations:

  • Exposure to chemicals, loud noises, and extreme temperatures.
  • Potential allergens and blood-borne pathogens.

Qualifications:

  • Associate's degree required; Bachelor's degree preferred.
  • Valid driver's license and auto insurance.
  • Knowledge of current nursing practices and protocols.
  • Experience working directly with physicians is essential.
  • Strong communication, interpersonal, and organizational skills.
  • Ability to manage diverse tasks with accuracy under time constraints.
  • Flexibility with work schedules and willingness to travel to satellite offices as needed.
