Finance Administrator

Remote Position - must reside in Colorado

Overview of the Role

The Finance Administrator plays a crucial role in managing the financial activities and documentation of the organization. This position ensures adherence to applicable laws and regulations, maintains precise financial records, and generates comprehensive financial reports. Additionally, the Finance Administrator offers financial insights and support to both management and staff.

Key Responsibilities

1. Financial Reporting

  • Generate general ledger entries, financial statements, and reports in line with corporate accounting policies and local GAAP.
  • Assist in the closing processes at month-end and year-end.
  • Uphold internal controls to guarantee compliance with financial regulations and organizational policies.
  • Identify opportunities for process enhancements in collaboration with the financial controller.
  • Address information requests and provide data analysis as directed by the Director of Financial Control & IT or the Financial Controller.
  • Support the global finance team in budgeting and forecasting activities.

2. Accounts Receivable

  • Manage the complete accounts receivable cycle, including invoicing, payment processing, and collections.
  • Ensure accurate and timely posting of cash receipts and adjustments.
  • Maintain consistent communication with clients regarding outstanding invoices.
  • Resolve customer billing issues through effective communication.
  • Analyze accounts receivable aging reports to identify trends and notify relevant parties of overdue invoices.

3. Accounts Payable

  • Act as the primary contact for invoice management, including submissions and approvals.
  • Oversee the accounts payable process, ensuring accurate invoice processing and vendor relations.
  • Verify that all invoices are correctly coded and approved according to company policies.
  • Facilitate electronic transfers and payments.
  • Monitor unmatched payments and maintain accurate AP transaction records.
  • Respond to inquiries related to Accounts Payable.
  • Compile monthly credit card reports and manage related documentation.

4. Payroll Management

  • Coordinate payroll adjustments with third-party vendors.
  • Calculate commissions for sales representatives quarterly.
  • Conduct annual bonus calculations for staff.
  • Collaborate with HR on benefits reviews and cost assessments.
  • Manage tax code setups within the payroll system.
  • Oversee the time-off module within the payroll management system.

5. Tax Compliance

  • Manage registrations and filings for various tax obligations in collaboration with external agents.
  • Oversee tax-related registrations and reconciliations for multiple jurisdictions.

6. Legal and Insurance Management

  • Maintain databases for NDAs and contracts.
  • Act as the US point of contact for contract management tools.
  • Coordinate insurance quotes and renewals with the legal department.
  • Manage certificates of insurance databases.

7. Additional Duties

  • Oversee chargeback reports with distribution partners.
  • Manage state licensing for medical devices.
  • Assist with fixed asset management.

Qualifications

Education:

  • Bachelor's degree in finance, accounting, or a related discipline.
  • Strong grasp of accounting principles and tax regulations.
  • Proficient in accounting software and advanced Microsoft Excel skills.
  • At least 5 years of relevant accounting experience.
  • Experience in a startup environment is advantageous.
  • Familiarity with the medical device industry is a plus.
  • Experience with large healthcare organizations is highly desirable.
  • Excellent communication and interpersonal skills.
  • Self-motivated team player with strong organizational abilities.

Work Environment

  • Flexible working hours are available.
  • Physical requirements include the ability to sit, stand, walk, and lift up to twenty-five pounds.

Compensation and Benefits

Salary range: $75,000 - $100,000, determined by the applicant's qualifications and experience.
