Key Responsibilities- Employee Records Management: Maintain accurate and up-to-date employee records, both in electronic and hard copy formats.
- HR Database Management: Update and maintain our HR databases, including new hires, separations, vacation and sick leave records.
- Payroll Support: Assist in the preparation of payroll by providing relevant data, such as absences, bonuses, and leaves.
- Policy and Procedure Development: Prepare and maintain HR policies and procedures, including paperwork and documentation.
- Employee Support: Provide timely and effective support to employees, responding to their requests and providing relevant information.
- Project Coordination: Coordinate HR projects, meetings, and training seminars, ensuring smooth execution and follow-up.
- Recruitment Support: Collaborate with the Recruiter to post job ads and process incoming resumes.
- Telephone Support: Manage the department's telephone center, responding to inquiries and addressing employee concerns.
- Reporting and Presentations: Prepare reports and presentations for internal communications, highlighting key HR metrics and trends.
- New Hire Orientation: Provide orientations for new employees, sharing onboarding packages and explaining company policies.
- HR Experience: Proven work experience as an HR administrative assistant, preferably in a fast-paced environment.
- HR Software Proficiency: Hands-on experience with HR software, such as HRIS or HRMS.
- Technical Skills: Proficiency in MS Office applications, including Word, Excel, and PowerPoint.
- Knowledge of Labor Legislation: Familiarity with labor legislation in California, including employment laws and regulations.
- Organizational and Time Management Skills: Excellent organizational and time-management skills, with the ability to prioritize tasks and meet deadlines.
- Teamwork and Communication Skills: Strong teamwork and communication skills, with the ability to work effectively with employees at all levels.
- Education: Bachelor's degree in Human Resources or a related field.
