Job Title: Maintenance Systems Administrator and Warranty Coordinator

Join The Ride Ann Arbor as a Maintenance Systems Administrator and Warranty Coordinator, responsible for managing all aspects of the Fleet Maintenance database and coordinating warranty-related claims.

Job Summary:

Under minimal supervision, this role will serve as the Enterprise Asset Management (EAM) System Database Administrator, initiating and reviewing warranty claims for accuracy and completeness. The successful candidate will process and submit warranty claims daily, accurately code warranty jobs in the Maintenance Data Management System, and handle rejected claims according to dealership and OEM specifications.

Key Responsibilities:
  • Manage the Fleet Maintenance database and EAM System to ensure accurate and timely warranty claims processing.
  • Initiate and review warranty claims for accuracy, completeness, and adherence to documentation standards.
  • Process and submit warranty claims daily for payment, accurately coding warranty jobs in the Maintenance Data Management System.
  • Handle rejected claims according to dealership and OEM specifications, following up on outstanding claims.
  • Monitor and reconcile factory payments to the Finance Department, submitting daily requests for corrections.
  • Establish and maintain relationships with OEM's designated warranty representatives, staying current on required OEM announcements, bulletins, and communications.
  • Process warranty claims on a timely basis for each franchise or distributor, verifying criteria required by factory or distributor.
  • Reconcile all warranty receivables with payments through the appropriate accounting schedule, resubmitting rejected claims promptly or receiving authorization to write them off.
  • Follow up on payment of outstanding claims, tracking warranty parts by tagging with work order number, date of replacement, and date on which part may be disposed of.
  • Work with the Supply Department to arrange for parts to be shipped to the factory or distributor or to be scrapped, recycled, or appropriately disposed of.
  • File and maintain all service records as required by the warrantor, assisting with body shop warranty claims as needed.
  • Maintain Vehicle Logbook Records with any clerical needs as directed by the Fleet Services Manager, maintaining a professional appearance and a neat work area.
Requirements:
  • 1+ Year of EAM and Fleet Maintenance experience, or 2+ Years of Warranty Coordination or equivalent experience, or a Two-year college/university degree in Accounting or Business Administration or Supply Chain Management, or a Four-year college/university degree in Accounting or Business Administration or Supply Chain Management.
  • Ability to read and comprehend simple to complex instructions, short correspondence, and memos.
  • Ability to write simple to complex correspondence both within and external to the organization.
  • Ability to effectively present information in one-on-one and small group situations to employees of the organization.
  • Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals.
  • Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, or governmental regulations.
  • Ability to write reports, business correspondence, and procedure manuals.
  • Previous Warranty Administrator experience is a plus, as is ADP experience, EAM experience, and outstanding communication skills.
  • Professional appearance and work ethic, positive attitude, and team-oriented approach are essential.
  • Superior customer service skills and basic understanding of vehicle systems and computer keyboard operations are required.
  • A valid driver's license is necessary.
