Job Overview

Position: Administrative Coordinator

Trellis Supportive Care is in search of a dedicated and enthusiastic Administrative Coordinator to assist in various administrative tasks that bolster the objectives of the Compliance and Quality department.

Key Qualifications:

  • Completion of two (2) years of college or business school, or equivalent professional experience
  • At least one (1) year of experience in a healthcare setting, with hospice experience being advantageous
  • Strong analytical and problem-solving abilities, demonstrating a high level of accuracy in work
  • Outstanding verbal and written communication skills, including proper grammar and punctuation
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and skilled in managing and analyzing statistical data

Primary Responsibilities:

  • Draft and revise documents such as invoices, reports, memos, letters, schedules, and presentations using various software tools
  • Organize and coordinate meetings, including preparing agendas, minutes, and necessary documents
  • Support the Board of Directors Legal Committee through coordination efforts
  • Gather and compile information for the monthly staff Compliance newsletter
  • Maintain administrative records and oversee processes related to record-keeping across departments under Compliance & Quality
  • Handle invoices, disbursements, deposits, and donations
  • Assist with events sponsored by the department and agency activities
  • Manage projects, including policy updates and committee facilitation; oversee clinical and student nurse workflows and contract maintenance; create and distribute the monthly newsletter
  • Provide backup coverage for the front desk and phone duties
  • Answer phone calls and transfer them with care and professionalism
  • Welcome and assist visitors and vendors with exceptional customer service
  • Ensure confidentiality and privacy for patients, families, and staff
  • Foster positive working relationships with vendors, colleagues, and the public
  • Communicate professionally and courteously with patients, families, and all staff members
  • Respect and acknowledge diverse beliefs and cultures
  • Incorporate awareness of diversity and inclusion into daily practices

Work Schedule:

  • Full-time, 40 hours per week; Monday to Friday, 8 AM to 5 PM
