Position Overview: We are looking for a meticulous and organized Administrative Assistant to support our Operations and Marketing departments. This role is essential for maintaining efficient office workflows and accurate data management, ensuring the seamless operation of our engineering firm.

Key Responsibilities:
  • Offer administrative assistance to the Operations and Marketing teams.
  • Maintain systematic filing systems for both physical and digital documents.
  • Execute data entry tasks with precision and speed.
  • Update and manage databases, spreadsheets, and various systems.
  • Conduct research and gather information to meet departmental requirements.
  • Prepare and revise documents, including reports, drafts, and correspondence.
  • Manage incoming communications, including directing phone calls.
  • Coordinate schedules, appointments, and meetings for team members as necessary.
  • Assist in the application process and manage approvals.
  • Support coordination for executive events, travel, and meetings as required.
  • Perform additional duties as assigned by management.

Qualifications:
  • Demonstrated experience as an administrative assistant, office assistant, or in a similar role.
  • Strong skills in data entry and recordkeeping.
  • Excellent organizational and time management abilities with a knack for prioritizing tasks.
  • Effective verbal and written communication skills.
  • Ability to manage confidential information with integrity.
  • Experience in human resources support is advantageous.
  • Proficiency in MS Office Suite (Word, Excel, Outlook).
  • Proactive problem-solving skills and a positive attitude.
  • Detail-oriented and efficient in managing time.
  • High school diploma; additional qualifications in Office Administration or a related field are preferred.
