Role: Full-time Client Care Specialist

POSITION SUMMARY

The Client Care Specialist plays a crucial role in facilitating access to mental health and treatment services within our behavioral health operations. This position requires exceptional customer service skills, proficiency in computer systems, and the ability to navigate electronic medical records efficiently. Flexibility and teamwork are essential to support clients, management, and clinical staff effectively. The Client Care Specialist reports directly to the Office Manager and collaborates closely with the Practice Manager.

KEY RESPONSIBILITIES:

  1. Deliver outstanding customer service to both internal and external clients.
  2. Create a welcoming and supportive environment for clients while ensuring confidentiality.
  3. Maintain composure and professionalism in a fast-paced setting when interacting with the public.
  4. Handle client payment requests in a respectful and professional manner, managing payment accounts effectively.
  5. Foster positive relationships with staff while remaining calm under pressure.
  6. Manage incoming calls, schedule appointments, relay pertinent information, and prioritize client wellbeing.
  7. Assess potential client crises and liaise with managerial and clinical staff as needed.
  8. Provide translation services for Spanish-speaking clients.
  9. Oversee the client waiting area to ensure safety, comfort, and confidentiality.
  10. Process intake information and schedule services in accordance with staff credentials and client needs.
  11. Manage outgoing mail and sort incoming correspondence.
  12. Assist other operational staff as necessary.

QUALIFICATIONS:

  • High school diploma or GED with relevant coursework in office practices and computer skills.
  • Basic math skills and the ability to prepare written reports are essential.
  • Effective communication skills with clients, staff, and the public are required.
  • Fluency in Spanish is mandatory.
