Job Description

At Grace Federal Solutions LLC, we are seeking a highly skilled and detail-oriented individual to fill the role of Administrative Program Specialist. This position involves carrying out various tasks related to the operational aspects of Program Administration, requiring high levels of confidentiality, working independently, and being self-motivated when handling personnel actions and assisting departments with personnel issues.

Key Responsibilities:

  • Assist with coordination, tracking, and processing of incoming clinicians, including faculty and advanced practice providers.
  • Ability to interpret basic financial data and data entry for payments with extreme attention to detail.
  • Assist/coordinate meetings prep, setup, and facilitation for DHIP Service Center.
  • Monitor shared email and phone lines – triaging to the appropriate team members.
  • Mail processing and appropriate routing.
  • Support the Program Coordinator and Director as needed.
  • All other duties as assigned.

Requirements:

  • Prior experience in an administrative setting is required.
  • Ability to problem solve independently.
  • Requires advanced knowledge and skills along with the ability to interpret policies.
  • Must be service-driven with a client-focused mindset and able to provide exceptional service delivery to faculty and department leaders.
  • Should be able to read, write, and follow written and oral instructions with minimal guidance or direction.
  • Proficient in Microsoft Word, Excel, PowerPoint, Outlook, and other internal systems such as SAP.
  • Extreme attention to detail and a high regard for confidentiality are essential.
  • Strong time management skills and self-motivation are crucial.
