Rely Services is seeking a highly skilled and organized Executive Administrative Assistant to provide exceptional support to our CEO. This is a full-time, Monday to Friday, 8am to 5:00pm role.
Key Responsibilities- Coordinate complex and ever-changing calendars of meetings, travel, and events.
- Manage and maintain executive schedules, meeting logistics, travel arrangements, and calendar management.
- Open, sort, and distribute incoming correspondence, handling highly confidential and non-routine information.
- Arrange details for conferences and speaking engagements, including promotional merchandise.
- Seek estimates, check status, oversee shipping/delivery, and resolve issues for items in home or office.
- Provide general office support, including printing documents, drafting correspondence, research, and data entry.
- Book and coordinate personal appointments with discretion.
- Assist the CEO with project management needs and any projects that arise.
- Support personal errands and gifts.
- Coordinate corporate events and parties, including catering for luncheons, and assist with setup, cleanup, and support during such events.
- Provide office support, including ordering supplies, stocking, and work requests with building management.
- Run items between home and office, including documents, lunch, supplies, and executives' vehicles.
- Assist with business and personal technology needs and troubleshooting.
- Bachelor's degree with four years of previous administrative work experience, preferably in a professional setting or other fast-paced environment.
- Excellent organizational skills, with the ability to prioritize multiple and potentially competing requests.
- Skilled multitaskers, able to manage several tasks at once and adapt to changing requests.
- Strong time management, with the ability to stay focused and complete tasks on time and meet deadlines.
- Excellent written and verbal communication skills, with the ability to speak and write professionally on behalf of the executive.
- High level of interpersonal skills, with the ability to handle sensitive and highly confidential situations with professionalism and confidentiality.
- Proficient in MS Word and Excel, with current technology to support and troubleshoot.
- Proactive work ethic, with the ability to understand when to seek guidance and when to complete tasks independently.
- Valid driver's license and proof of automobile insurance.
