Job Description

Job Title: Program Assistant

Job Summary:

The Program Assistant plays a vital role in the Intensive Services Unit (ISU) team, providing administrative, fiscal, and billing support. This position ensures the smooth and effective functioning of the team by working closely with the Team Leader, maintaining communication with the ISU team, and providing support for the team's administrative and billing responsibilities with flexibility, teamwork, and good organizational skills.

Key Responsibilities:

  • Provide triage support and direct assistance to program participants as needed.
  • Perform data entry to enroll participants in Supervised Release, including legal information, demographic information, enter appointment attendance, and other program information into the database as needed, ensuring accuracy.
  • Run demographic reports and retrieve other program data from databases for reporting purposes using Excel pivot tables.
  • Complete database quality assurance audits to ensure program data is entered according to program standards and timeliness.
  • Assist with the scheduled system of appointment reminders to help ensure participants receive timely notification of upcoming supervision contacts and court appearances.
  • Monthly order and delegation of phones, including maintaining relationships with phone vendors.
  • Receive and screen telephone calls and answer program inquiries via phone, email, and mail.
  • Enter participant data into the database, including pretrial supervision track, compliance with supervision appointments, re-arrest information, and case outcomes.
  • Complete and prepare for submission compliance documentation needed for the District Attorney's Alternative Sentencing Office, judges, and the Criminal and Supreme Court Compliance and All-Purpose Parts.
  • Provide specific administrative and program support to other members of Intensive Services Unit supervisory staff as needed, including scheduling meetings, assisting in set-up and preparation for special events, literature search, photocopying, and compiling materials.

Requirements:

  • Associate degree or High School Diploma/HSE with 2-3 years' experience.
  • Excellent organizational skills and attention to detail.
  • Excellent verbal and written communication skills.
  • Respect for confidentiality.
  • Strong interpersonal skills.
  • Highly proficient in word processing and spreadsheet applications (MS Word, Excel), experience with PowerPoint.
  • Must be a self-starter and able to work independently.
  • Able to walk and/or take public transportation to designated community offices.
  • Able to lift up to 20lbs (boxes).
